About The Position

The Housing Student Assistant (HSA) position is an integral part of the daily operations of the Department of Housing and Residential Education (DHRE) at California State University, San Bernardino (CSUSB). HSAs are customer-service oriented roles and are the primary contact for residents and guests at the DHRE Front Desk, Resident Mailroom, and Village Desks. HSAs support DHRE outreach efforts, including tours for prospective students and families, tabling and/or sharing student perspectives at department and campus events. HSAs work collaboratively with professional and student staff to support and assist the department with visitor/caller inquiries, resident requests, and the general administrative operations of the DHRE community while providing excellent customer service.

  • Admission or registration as a CSU student.
  • Maintain a 2.0 G.P.A. or greater per semester and cumulative.
  • Students must be enrolled in at least halftime units at CSUSB (6 units undergraduate; 3 units graduate)
  • International students must have full-time enrollment at CSUSB. (12 units undergraduate; 6 units graduate)
  • Eligible to work in the United States

  • Availability and flexibility during evenings, weekends, and exam weeks is a plus.
  • Driver's License preferred, but not required.
  • Ability to work shifts of 3.0 hours or more during campus operating hours (Monday – Friday from 8:00am-5:00pm) and a minimum of 10.0 hours per week, including breaks (e.g. Winter Break, Spring Break).
  • Occasionally HSAs will be asked to work outside regular campus operating hours, including nights, weekends, and holidays.
  • Availability and flexibility during evenings, weekends, and exam weeks is a plus.

Responsibilities

  • Provide excellent customer service to professional staff, student employees, residents, and guests.
  • Remain alert and aware of work area while proactively greeting and assisting all visitors.
  • Report any suspicious, dangerous, or inappropriate behaviors/incidents to appropriate professional staff in a timely manner according to department protocols.
  • Maintain all incoming calls through use of administrative tools.
  • Support current and potential residents with assistance for applications, maintenance requests, and other DHRE processes as needed.
  • Demonstrate a thorough understanding of and adherence to all university and department policies.
  • Assist new residents with moving in by checking out equipment, keys, et al.
  • Possess knowledge of campus departments and programs and have the ability to recommend resources purposefully.
  • Be punctual and reliable by arriving at all shifts and workspaces on time, as scheduled.
  • Serve as a main point of contact for the Department of Housing and Residential Education.
  • Understand, utilize, and maintain department database (StarRez) effectively and with extreme confidentiality.
  • Communicate with guests via verbal, written, and electronic correspondence (i.e., answering phones, sending emails, greeting campus and external visitors).
  • Assist with creating and editing documents.
  • Organize, track, scan, and upload office documentation.
  • Data entry to maintain office records and documentation.
  • Assist with clerical functions (i.e., answering phones, sending email, filing paperwork, maintaining an organized work environment, making deliveries to campus departments and programs, etc.).
  • Handle personal and financial information with extreme confidentiality.
  • Social outreach through tabling to increase visibility of department and support campus community.
  • Attend CSUSB events, including donor visits, alongside a CSUSB staff member.
  • Support preparation and operation of Summer Occupancy: camps, conferences, et al, as assigned (may include activity in and outside of offices/desks throughout DHRE property).
  • Schedule and host tours of dormitories and grounds and provide accurate information to guests.
  • Receive, organize and distribute mail and parcels while strictly adhering to DHRE policy and procedures.
  • Provide meaningful suggestions and feedback regarding administrative and operational systems as prompted.
  • Attend and participate in mandatory training as assigned by DHRE and CSU.
  • Participate in ongoing training to promote academic success, professional development, and personal growth.
  • Complete annual professional employee evaluation, including self-evaluation.
