About The Position

To provide support to the Student Services programs and Program Supervisors in a manner that is professional, diplomatic, and complies with confidentiality requirements. Assist in data collection and entry, provide programmatic and administrative support to the team, and document process and procedures as needed.

Requirements

  • High school diploma or equivalent
  • At least three (3) years of relevant assistant experience.
  • Experience with standard MS Office suite software required.
  • Excellent written and verbal communication skills required.
  • Strong attention to detail and organizational skills required.
  • Ability to prioritize work and meet established timelines required.
  • Ability to work independently; multi-task; problem solve, and prioritize work, including meeting established timelines, with little direct supervision.

Nice To Haves

  • Previous experience working in special education services preferred.

Responsibilities

  • Perform a variety of duties in support of the program to which he/she is assigned. This may include answering phones, responding to emails, scheduling appointments, preparing reports, etc.
  • Perform program specific duties including collecting and maintaining program data; maintaining program and student files; assisting program staff; ordering supplies; entering student and program demographic and service data; generating and reviewing reports; tracking program requirements and data; verifying data; inquiring about data discrepancies; responding to program inquiries; and performing other support functions as needed.
  • Arrange for meetings and trainings as needed, including using automated tools to reserve CAIU rooms; contacting outside agencies to reserve facilities; arranging for catering, rooms, materials, and necessary technology; and, as needed, utilizing and securing conference calls or virtual meeting space.
  • Track and maintain staff schedules and calendars.
  • Verify, update, and maintain student data, as required for local, state, or federal reporting, in electronic data systems. Monitor current student data for accuracy on a regular basis.
  • Provide administrative supports to program supervisor(s). Adhere to strict timelines to meet programmatic needs.
  • Participate and cooperate with other support personnel to accomplish team or program duties. Plan for workflow and communication during leave time; and provide coverage and support to other team staff when needed.
  • Communicate clearly, professionally, and courteously to all stakeholders (both internal and external) through a variety of methods, including email, telephone, and in person. Use a variety of virtual tools and applications that promote communication, collaboration, and creativity.
  • Assemble cumulative or transition files for program as defined by program protocols.
  • Participate in meetings or committees at the program, team or organizational level when requested.
  • Follow program, team, and organizational policies; protocols; and procedures with accuracy, timeliness, and consistency.
  • Assume any other responsibilities as assigned by Supervisor or his/her designee.
