About The Position

ACU is affiliated with the fellowship of the Church of Christ. This position requires the employee to be a professing Christian and to be willing to support the Christian mission of ACU. ‌ ACU Study Abroad seeks nominations and applications for the position of Director of Study Abroad Operations. This position, which reports directly to the Executive Director of International Education and Study Abroad, provides overall administrative leadership and management of the Abilene office and on-campus efforts. The primary mission of the ACU Study Abroad is to educate students for Christian service and leadership throughout the world through interaction with the global Christian community, academic excellence, the pursuit of wisdom, the practice of humility, and through giving and receiving hospitality. The director must demonstrate an active commitment to the Christian mission of the University and the mission of ACU Study Abroad. The Director of Study Abroad Operations closely with the Executive Director of Study Abroad and International Education to support ACU Study Abroad programs through the administration of the student recruiting cycle, management of ACU Study Abroad marketing and advertising efforts, communication and cooperation with ACU Study Abroad Directors, communication and cooperation with ACU on-campus offices and departments, supervision and leadership of ACU Study Abroad student worker team, academic management, and other general project management.

Requirements

  • Bachelor’s degree or greater required.
  • Significant experience in international, multicultural situations.
  • 1-3 years of experience in a fast-paced office environment.
  • Self-motivated, entrepreneurial attitude.
  • Must be collaborative, engaging with students, and committed to serving as an administrator and an educator.
  • Must have excellent communication skills, both oral and written.
  • Must have competency in using office software such as Google Suite (Drive, Docs, Spreadsheets).
  • Committed to the Christian mission of Abilene Christian University.
  • Significant international experience, including specific experience in a study abroad program.
  • Ability to execute job with minimal supervision.
  • Self-motivated with excellent time management skills.
  • Able to function efficiently and maintain self-control in stressful situations.
  • Ability to prioritize and adapt to demands.
  • Ability to organize and manage multiple projects and multiple deadlines simultaneously.
  • Willingness to adapt to new technologies and learn new skills.
  • Keen problem-solving skills.
  • Ability and willingness to travel both domestically and internationally.
  • Display strong interpersonal relationship skills.
  • Able to listen and communicate.
  • Able to work other than regular business hours as needed to complete assigned tasks.
  • Able to occasionally move boxes and other heavy objects both in the office and around campus.

  • Preferred knowledge of Abilene Christian University, private faith-based institutions, or international programs model similar to that of Abilene Christian University.
  • Able to articulate a strong commitment to diversity and have the ability to work effectively with individuals from different backgrounds.
  • Foreign language skills preferred.

Responsibilities

  • Student Worker Management Supervision of student workers and all student worker tasks
  • Create job openings in Workday for new student hires
  • Interview and select new student workers
  • Hire new student workers in Workday
  • Review and approve student worker time sheets bi-weekly
  • Review RA applications and invite applicants to interviews
  • In collaboration with Executive Director: Interview and select RA applicants
  • Recruitment/Marketing Wildcat Week events (in collaboration with entire team)
  • New Student Orientation presentations
  • In collaboration with Executive Director: Parents’ general informational meeting during Family Weekend
  • Virtual parents’ meeting for outgoing students in March, June, and November (for upcoming term)
  • In collaboration with student in recruitment role: Preview Day presentations
  • Class & Cornerstone presentations
  • Event planning (Launch Party, National Study Abroad Day, etc.)
  • Acceptance meeting for newly-accepted students immediately following decision days in October and November
  • Lead pre-departure meetings and orientations for semester and summer students
  • In collaboration with student media leader: Review, select, and hire Media Coordinators for each program
  • Supervise social media content for main Instagram account and location accounts
  • Supervise media coordinator content creation
  • Approve graphic designs and merch designs
  • Order merch as needed
  • Administration/Academics Create academic courses in Banner for all programs
  • Register students for study abroad classes
  • Program application review and acceptance
  • Share student lists and relevant information with on-site staff and FIR
  • Keep track of overall program numbers
  • In collaboration with student in administrative role: Register all students and FIR for international health insurance
  • Check passport validity for all travelers
  • Gather course registration information from all students
  • Gather textbook information from all faculty
  • Finance Review student scholarship applications
  • Award student scholarships
  • Create and maintain billing sheets for all programs
  • Work with Student Financial Services to correctly bill each student
  • Work with financial aid counselors to support students
  • Ensure that withdrawal fees are correctly charged to relevant students
  • Ensure that FIR receive their contracted per diems
  • Maintain budget for Abilene office expenditures
  • Track expenses for p-card and travel card monthly in Workday
  • Travel Book flights for all students of all programs
  • Book flights for all FIR and FIR families
  • Arrange deviations for any students and FIR
  • Organize and execute sendoff ceremony in Dallas for semester students on departure day (in collaboration with Executive Director and student recruiter)
  • Travel to DFW airport on June 1 and July 1 to send off summer groups
  • Alumni Give location-specific study abroad shirts to recent alumni
  • Maintain contact and relationship with on-campus alumni
  • Lead “Returning Well” reentry small group chapel
