About the position

The position involves managing all administrative functions of the Subsidiary, which includes maintaining accounting, human resources, and other assigned duties. Responsibilities include managing HR and accounting for subsidiary employees, processing payroll, accounts payable, accounts receivable, and handling new hire, termination, and employment verification paperwork. The role also requires tracking immigration status, processing benefits, assisting with warning reports and disciplinary actions, and helping employees with leave of absence and short-term disability claims. Additionally, the position involves processing and tracking worker's compensation claims, maintaining OSHA records, and updating certificates of insurance. The individual will be responsible for ordering and supporting computers, phones, and other devices, as well as supporting the administrative management of the office and tracking professional licenses. The role also includes supporting subsidiary executives and management with special projects, reports, meetings, and training, managing administrative duties of offices without HR and accounting support, and training subsidiary office administrators. The individual will develop a subsidiary training program for HR and accounting personnel and establish procedures for regional and office Profit and Loss. Participation in monthly management group meetings and travel to subsidiary offices for support and training is also required.

Responsibilities

  • Manage all administrative functions of the Subsidiary including maintaining accounting, human resources and other duties as assigned
  • Process payroll, accounts payable, accounts receivable
  • Process new hire, termination, and employment verification paperwork
  • Track immigration status
  • Process benefits including new enrollments, open enrollment and updates as required
  • Assist with warning reports and disciplinary actions
  • Assist employees with processing leave of absence and short-term disability claims
  • Process and track worker's compensation claims and maintain OSHA records
  • Assist with other HR issues as needed
  • Maintain and update certificates of insurance
  • Responsible for ordering and support for computers, phones, and other devices
  • Support administrative management of the office
  • Track and update professional licenses
  • Support Subsidiary Executives and Management Group with special projects, reports, meetings, and training
  • Manage administrative duties of offices without HR and accounting support
  • Manage administrative duties of offices while Admin is on PTO or other leave
  • Train and support subsidiary office administrators
  • Develop subsidiary training program for HR and accounting personnel with assistance from Corporate Services
  • Establish procedures and protocols for regional and office Profit and Loss
  • Attend and participate with monthly management group meetings
  • Travel to subsidiary offices to provide support and training

Requirements

  • BS in Human Resources or similar field preferred
  • 8-10 years of related experience
