About The Position

The Summer Camps Supervisor is an hourly non-exempt position running from spring to the end of summer responsible for the planning, coordination, and execution of Tahoe Expedition Academy’s summer programming, Tahoe Summer Camps. This role combines high-level operational leadership, staff hiring and management, program development, customer communication and transportation scheduling to deliver exceptional experiences for summer campers. This position creates significant revenue ($800,000.00+ annually) through high-quality, unique and in-demand programs that showcase the best of Tahoe’s outdoor, sport and educational offerings.

Responsibilities

  • Manage employees, promote to families, sell, schedule, communicate, reserve space, purchase equipment, coordinate transportation, and more for all programs.
  • Manage Tahoe Summer Camps from early planning through summer execution, partnering with the Summer Camp Director to develop 85+ unique camp offerings.
  • Create and foster strong relationships with experts in their field to enhance programming and partnerships.
  • Expertly manage the end-to-end registration lifecycle, including customer data integrity, financial transactions, and the seamless processing of refunds and credits.
  • Maintain and enhance the Tahoe Summer Camp web presence by regularly updating site content, launching new program pages, and ensuring all digital information is current and engaging.
  • Step in to lead or co-lead summer camp offerings or portions of offerings as staffing needs and other factors dictate.
  • Help the Summer Camp Director interview, hire and train summer lead camp counselors and assistant counselors
  • Help recruit, review and thoughtfully select applicants to interview that have relevant experience, hire, onboard and train 70+ summer staff annually.
  • Work closely with HR on the onboarding process providing needed information for offer letters and making sure their onboarding is finalized before allowing employees to work.
  • Maintain relationships with past summer staff - resulting in high rehire rates and recruitment through trusted word-of-mouth referrals.
  • Build strong summer employee teams through a comprehensive orientation covering curriculum, day to day operations, medical training, safety protocols, best practices, camp how tos, payroll and more.
  • Information sharing and coordination - calendars, transportation schedules, employee contact lists, camper rosters and medical information, curriculum and organizing employee emails.
  • Observe and provide feedback to staff and support staff with daily camp needs
  • Collaboratively oversee weekly camp logistics, including medical form collection, allergy/dietary information distribution, roster creation, and daily wellbeing check-ins for staff and campers.
  • Using Active Network that allows program creation, fee collection, customer communication, medical documentation, reporting, and attendance.
  • Design and manage transportation schedules for buses, suvs, one trailer, and multiple drivers - linking offsite adventures to camp themes and balancing overlapping program needs.
  • Plan routes, secure permits, coordinate dietary accommodations, and establish emergency protocols for overnight camps and backpacking trips; serve as on-site incident commander and first aid responder as needed.
  • Communicate with 1,300+ summer camp families annually ensuring timely updates, clear logistics, and effective conflict resolution.
  • Co-author weekly staff briefings during summer and coordinate employee check ins and meetings as needed
  • Organize, collect and share counselor photos from the camp week or trip on SmugMug via Active Network.
  • Coordinate the design, production, and sales of annual camp merchandise, managing weekly on-site sales during summer.
