The role of Supervising Civil Litigation Paralegal at Sanvenero & Cittadino is a leadership position designed to strengthen and scale the firm’s civil litigation function. You will handle high-level paralegal work while also leading day-to-day paralegal operations—driving organization, deadline control, quality assurance, and process consistency across the litigation team. Your work directly impacts case throughput, attorney efficiency, and the client experience.

Requirements

  • Experience Required: Minimum of 3-5 years in civil litigation, with additional experience in NJ and NY jurisdictions being advantageous.
  • Technical Skills: Proficient in Microsoft Outlook, Office, and PracticePanther or similar case management software.
  • Organizational Skills: Strong ability to manage multiple cases and deadlines efficiently, with exceptional attention to detail.
  • Proactive and Accountable: Able to work independently with initiative, consistently meeting high standards of quality and efficiency.
  • Leadership Experience: Prior experience leading workflows, mentoring, training, or acting as a lead/senior paralegal (formal supervisor title not required if you’ve truly led).
  • Systems Mindset: Able to build and enforce SOPs, templates, and checklists to reduce errors and increase consistency across cases.
  • Accountability + Ownership: Comfortable setting expectations, following up, and escalating issues appropriately to keep cases moving.
  • Strong Judgment Under Pressure: Can triage priorities across a busy docket and keep the team calm, clear, and compliant.

  • Insurance Defense Experience: Highly valued for familiarity with billing, reporting, and carrier expectations.

Responsibilities

  • Case Management: Support attorneys with a caseload ranging from 30 to 70 matters, ensuring efficient organization and progression of cases.
  • Supervision + Delegation: Provide day-to-day oversight of paralegal/legal support work (task assignment, follow-up, and quality checks), ensuring matters move forward predictably.
  • Workflow Ownership: Build and maintain repeatable litigation workflows (intake-to-close) with clear task lists, responsibility lanes, and “what good looks like” standards.
  • Quality Control: Implement QA checks for filings, discovery packages, and file hygiene (naming conventions, indexing, completeness, service documentation).
  • Team Enablement: Train/coach team members on systems, templates, and best practices; identify gaps and close them with SOPs and checklists.
  • Attorney Communication Cadence: Run concise case-status updates and flag risks early (missed deadlines, discovery delays, missing documents, unreturned client items).
  • Document Preparation: Draft and prepare pleadings, motions, discovery, subpoenas, and correspondence with precision and attention to detail.
  • File Maintenance: Organize and manage both physical and digital case files, ensuring accessibility and accuracy.
  • Trial Preparation: Assist with deposition and trial preparations, providing necessary legal research and documentation support.
  • Scheduling and Deadlines: Calendar hearings, depositions, and deadlines, ensuring all are met and properly communicated to relevant parties.
  • Client Communication: Foster clear and timely communication with clients throughout the litigation process to ensure their needs are met and expectations managed.
