About The Position

The Hospice of Baton Rouge is seeking a skilled and detail-oriented Full-Time Supply Clerk to support clinical operations by managing medical supplies and providing clerical and administrative assistance to ensure efficient workflow. This role is responsible for maintaining organized inventory, monitoring supply levels, and assisting with general office support functions.

Requirements

  • High School diploma or equivalent; College education preferred.
  • Prior experience in a clerical, administrative, supply, or healthcare support role preferred.
  • Prior experience, knowledge, and skill with computers and EMR applications.
  • Strong organizational and multitasking skills.
  • Excellent telephone etiquette and communication skills.
  • Ability to work independently and demonstrate reliability.
  • Attention to detail and accuracy in completing tasks.
  • Basic computer skills, including familiarity with email, scanning, and document management.
  • Possess excellent telephone skills and the ability to interact with patients, customers, and medical professionals.
  • Capable of safely lifting 25 lbs.
  • Ability to lift, carry, and move supplies as needed.
  • Ability to stand, walk, bend, and reach for extended periods while stocking and organizing supplies.

Nice To Haves

  • Experience with inventory management or medical supplies is preferred but not required.

Responsibilities

  • Answer phone calls from patients, families, and staff, offering empathetic and informative assistance regarding medical supplies and DME add-ons.
  • Exude compassion and competence on the phone with patients and families; ensure issues are resolved, and families are updated before leaving for the day.
  • Process all correspondence regarding labeling, scanning, and uploading into patient’s chart.
  • Receive and process DME add-ons and medical supply orders accurately and in a timely manner.
  • Contact physicians and Hospice staff to clarify orders received with respect to prescribed equipment and supplies.
  • Create and maintain accurate patient records in the electronic medical record system.
  • Review, prepare, and organize all necessary documentation for each order and ensure documentation is complete for billing and compliance.
  • Communicate effectively with Dragon Fly and clinical partners to ensure timely order fulfillment.
  • Document all patient and staff interactions, orders, and updates per documentation standards.
  • Coordinate with Clinical Administration for items that require prior approval or authorization.
  • Place supply orders with vendors, ensuring stocked supply shelves, stock rotation, labeling, organization, and cleanliness.
  • Pack and stage supply orders for clinical staff pickup, as needed.
  • Assist clinical staff with loading and unloading supply orders, as needed.
  • Support clinical staff by answering supply-related questions and researching patient-specific supply needs, as needed.
  • Assemble supply kits, including PPE and specialty items, for delivery or pickup, as needed.
  • Other duties as assigned by the Director of Clinical Services.
