About The Position

The Support Specialist Executive within the Investigations Bureau provides high-level, confidential, and proactive administrative support to the bureau commander and command personnel. This position plays a critical role in supporting the strategic and operational functions of the bureau by managing communication, coordinating administrative processes, and ensuring efficient office operations. This position is a fully in-person role, Monday through Friday, between regular business hours, with the possibility of a flexible schedule at the discretion of the Support Specialist Supervisor. Requirements

  • High school diploma or GED
  • Minimum 3 years of experience in administrative support
  • Office practices and procedures.
  • Manual and electronic filing systems.
  • Advanced business English, spelling and math.
  • General office equipment, and personal computers.
  • Appropriate systems related to job duties and tasks. Including but not limited to: Versadex AIM Hindsight (H4) SharePoint TEAMS Workday
  • Accurate and efficient typing and data entry skills.
  • Strong interpersonal and verbal/written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and manage multiple priorities.
  • Professionalism and discretion in handling confidential matters.
  • Establish and maintain effective working relationships with employees and citizens.

  • Experience supporting leadership, specifically in law enforcement, government, or public safety.
  • Familiarity with department-specific systems, policies, and procedures.
  • Familiarity with budgeting, procurement, and personnel process.

Responsibilities

  • Serves as the primary point of contact and liaison for the Breau Commander, managing the Commander’s schedule and coordinating internal and external engagements.
  • Prepare, edit, and proofread memos, reports, presentations, and other documents.
  • Coordinate and track bureau-level initiatives, meetings, and deadlines.
  • Support project management and implementation of bureau initiatives.
  • Maintain and organize confidential files, records, and correspondence.
  • Facilitate internal communications and maintain effective working relationships with department personnel, community partners, other COA departments, and additional stakeholders.
  • Coordinate logistics and documentation for meetings, bureau events, and bureau-related programs.
  • Complete and maintain personnel orders and tracking documentation.
  • Research, follow up, and document for internal investigations within Investigation units.
  • Manage P-card transactions and bureau purchases and track bureau budget expenditures to ensure accurate financial records.
  • Maintain operating equipment.
  • Manages the care and functionality of Investigations’ facilities/spaces to maintain a safe and professional environment.
  • Perform other duties as assigned by the supervisor, Commander, or command staff.
  • Maintain bureau-related files.
  • Take, prepare, and distribute minutes of meetings.
  • Answer phone, e-mail, and in-person inquiries on behalf of personnel.
  • Maintain facility repairs to include office spaces where investigations personnel work.
  • Work with assigned personnel to maintain the bureau inventory.
  • Coordinates and maintains contractors and vendors, to include billing.
  • Maintain armory access report for specialized groups and submittal to city auditors.
  • Coordinate with other support specialists within the bureau to ensure all units are supported.
  • Supports the U-Visa Coordinator in all administrative functions, including researching, records management, correspondence, and logistical support.
