About The Position

The Department of Surgery at is currently seeking a full time Surgery Scheduler 1 to work in Miami. The Surgery Scheduler 1 will be responsible for managing information related to clinical coordination and scheduling of surgical procedures, efficiently and effectively entering case into surgical scheduling system and coordinating the reassignment of surgical block time. Interact directly with all physicians in campus and among the community, as well as ARNPs and RNs to assure smooth operation of the physician’s clinical practice.

Requirements

  • High School diploma or equivalent required. Associate Degree preferred.
  • One (1) year of relevant work experience in a medical office, surgical coordination or insurance verification required.
  • Ability to operate computer terminal, retrieving and inputting information, as required, accurately.
  • Ability to communicate effectively in verbal and written form.
  • Ability to communicate well with physicians and other professionals.
  • Ability to perform as a team player.
  • Ability to interact and assist patients of all ages and patients with special needs
  • Pleasant personality and speaking voice is essential.
  • Ability to work under a high level of stress with time constrains while maintaining composure and sensitivity to each patient’s individual situation.
  • Possess knowledge of Medicare, Medicaid, and various third party requirements.
  • Ability to accurately schedule patient appointments to provider schedules.
  • Must be diplomatic and be able to use discretion in relating with various types of people.

Responsibilities

  • Creates and maintains daily schedule and complete edits in a timely manner.
  • Completes all necessary paperwork prior to pre-op appointments including updating the surgery log book immediately after confirming surgery with patients.
  • Monitors cancellation of physician surgical schedules.
  • Obtains referral and authorization from PCPs or insurances
  • Coordinate pre-op testing with outside medical doctors i.e., blood work, EKG, and medical clearance in a timely manner.
  • Follows-up with medical doctor’s office and internal imaging techs to ensure that all the pre-op results are back in a timely manner to ensure timely procedure starts.
  • Informs the patient regarding activities that will take place during his/her visit and provide patient pamphlets to the appropriate surgical facility.
  • Works closely with the front desk staff when discharged patients need to schedule surgery in order to ensure efficient patient flow.
  • Adheres to system policies and procedures concerning the registration process.
  • Informs patients of their financial responsibility when appropriate (self-pay patients, non-contracted insurance coverage, etc.)
  • Maintains effective communication with patients, physicians, staff members, and community physicians and their staff.
  • Perform other duties as assigned.
  • Request and follow up on insurance authorizations for surgical procedures in a timely and efficient manner.
  • Coordinate peer-to-peer for all authorization denials in a timely and effective manner.
  • Maintains appropriate records of all surgical cases as scheduled in a manner consistent with departmental policies and procedures, ensures redundancy by maintaining up to date information of all cases in department-specific shared calendars and/or physician’s calendars according to the operational needs of each department.
  • Answers, properly screens, transfers and/or completes phone calls via the NICE in Contact Telephone system following departmental telephone etiquette, policies and procedures.
  • Maintains department shared calendars and physicians’ calendars updated with surgical cases, upholds data integrity of said calendars.
  • Coordinates with facilities and vendors/representatives for case support and equipment as needed of specific cases.
  • Ensures the appropriate performance of scheduling tools, including electronic systems and reports any issues in a timely manner.
  • Coordinates all pre-operative testing, as required, following protocols for the specific surgical facility.
  • Daily review of prior day cases to ensure appropriate coding, billing, dictation, attestation, operative note completed and signed.
  • Communicate with physician(s) not in compliance with appropriate coding/billing and completed operative chart via email within 24-48 hours of case completion.
  • Ensures optimization of operating room/block times utilization.
  • Ensure necessary pre op testing and clearances are scanned in the system and readily available for review prior to pre-testing appointment.
  • Maintain effective communication with patient(s)/patient’s representative, regarding all aspects of surgical scheduling, communicate all changes to the care plan in a timely manner.
  • Request retroactive authorizations as needed for procedures performed outside of prior authorized scope.
  • Other duties as assigned depending on department’s operational needs.
