About The Position

The Surgery Scheduler is responsible for coordinating and managing all aspects of surgical procedures, including scheduling, authorizations, and communication between patients, surgeons, medical staff, and insurance providers. This role ensures optimal utilization of resources, verifies necessary patient information, and facilitates pre-operative requirements. Additionally, the Surgical Scheduler provides customer service, maintains accurate documentation in EMR systems, and anticipates potential scheduling or procedural issues. Strong organizational skills, attention to detail, and knowledge of medical terminology and insurance processes are essential for success in this role.

Requirements

  • High school diploma or equivalent required.
  • One or more years of experience scheduling medical office appointments.
  • Proficiency in word processing and computer applications required.
  • Ability to handle confidential information related to patient diagnoses and medical records.

Nice To Haves

  • Knowledge of medical terminology preferred.
  • Completion of a recognized medical secretarial program preferred.

Responsibilities

  • Coordinates and schedules surgical procedures.
  • Manages the surgical schedule, ensuring optimal utilization of operating rooms and resources.
  • Schedules for post-operative appointments in EMR per standard procedures.
  • Prioritize surgical urgency following company procedures.
  • Verifies patient information, including medical history, insurance coverage, and pre-operative requirements.
  • Serves as a liaison between patients, medical professionals, and insurance companies, ensuring authorization and paperwork are completed accurately and on time.
  • Obtains prior authorization for surgical procedures, identifying the surgeon and location of care.
  • Coordinates surgical clearances, lab orders, and pre-surgical testing.
  • Communicate with the patient and surgeon throughout the process.
  • Responds to patient and facility inquiries via calls and emails.
  • Sends pertinent information to the surgical facility.
  • Documents all patient encounters in EMR.
  • Understands insurance plans (HMOs, IPAs, and PPOs).
  • Ensures necessary surgical tools are communicated to the facility in advance.
  • Provides courteous customer service and maintains composure with difficult patients.
  • Multitasks, schedules procedures, and plans ahead.
  • Solves problems and anticipates issues.
  • Applies knowledge of medical terminology, EMR, and HIPAA policies.
  • Performs other duties as assigned by management.
