Requirements

  • High school diploma or GED.
  • One year of work experience, preferably in a medical office setting.
  • Basic Knowledge of medical terminology.

Nice To Haves

  • Scheduling experience in a healthcare setting preferred.
  • Experience with surgical scheduling, is preferred.

Responsibilities

  • Schedule, coordinate, and reschedule patient appointments, surgeries, and admissions.
  • Maintain accurate provider calendars, adjusting days, and schedules as needed.
  • Coordinate surgical cases with hospitals, surgery centers, and assistants.
  • Verify insurance requirements and determine appropriate surgery locations.
  • Arrange patient education appointments and send new patient information packets.
  • Answer incoming calls, screen inquiries, and provide accurate information with a friendly, professional tone.
  • Notify patients of surgery dates, appointment details, and pre-op requirements.
  • Communicate necessary updates to physicians, clinical staff, and other team members.
  • Maintain patient confidentiality and follow all HIPPA guidelines.
  • Enter and update patient information within the EMR system.
  • Prepare and send diagnostic orders, physical therapy scripts, and referral documents as needed.
  • Assist with developing or updating scheduling templates.
  • Type and update patient data, diagnostic information, and surgical details in charts.
  • Attends required meetings and participate in committees as requested.
  • Regular and reliable attendance is an essential function of the job.
  • Attending out-of-town clinics with providers and assisting with patient check-in/check-out.
  • Help train the scheduling staff in processes and workflow.
  • Serve as a backup for fellow schedulers or reception staff.
  • Contact referring offices for notes or records related to upcoming visits.
  • Schedule appointments with outside physician offices as required.
  • Assist with PA scheduling as needed.
  • May contact referring physician offices for notes on upcoming visits.
  • Ascertains if pre-certification is needed with patients' insurance company, schedules H & P, if needed.
