About The Position

Looking to hire a Full Time Surgical Coordinator, 40 hours a week with full benefits. Applicant must be flexible and willing to travel between our four (4) metro Milwaukee offices. The surgical coordinator will be responsible for all aspects of surgical scheduling and counseling either by phone or during clinic. Responsibilities include but are not limited to: answering phone, scheduling surgical procedures, surgical counseling, insurance verification and precertification, obtaining consent forms, collecting payment of out-of-pocket procedures, electronic prescription processing, file maintenance, entering surgical charges and other tasks as assigned. The surgical coordinator is highly visible with extensive patient contact requiring a professional appearance and demeanor at all times. This position must understand the importance of maintaining patient privacy and following all policies and procedures related to HIPAA. Ideal applicant must have excellent customer service skills; previous customer service/receptionist experience in a medical setting preferred, computer/keyboarding skills required to ensure accurate data entry, and excellent face-to-face, telephone, and written communication skills. Attention to detail is essential.

Responsibilities

  • Reviews medical record and seeks direction from surgeon, when needed, in order to understand the needs and recommended treatment for each patient
  • Screens patient medical records to ensure all information needed is included
  • Meets with patients in person or over the phone to educate them on upcoming procedure, including scheduling appointments, completing consents, paperwork and reviewing pre- and post- operative instructions
  • Counsels patients after physician visit reinforcing the multiple elective options giving to them by the physician
  • Communicates with co-managing optometry staff and doctors to facilitate patient pre- and post- surgical care
  • Communicates with staff at the surgery center to relay all demographics and surgical procedure details
  • Processes insurance authorizations and medical clearance for surgery when necessary
  • Facilitates the flow of information between patient, surgeon, surgical coordinators, and calculation department in a variety of different ways and documents in the medical record appropriately
  • Performs a final check of all patient records prior to surgery to ensure no steps of the process were missed and that all information is complete
  • E-prescribes post operative eye drops to pharmacies with MD/OD direction
  • Answers calls and returns all voicemails in a timely manner
  • Verifies coding for surgical procedures, utilizing proper modifiers if needed
  • Enters and codes surgical procedures in the EMR following surgery and upload the surgical operative note into the patient record
  • Participates in all department meetings
  • Shows proficiency in all practice software necessary to complete duties, i.e., practice management system, EMR, patient portal, etc.
  • Understands and can answer questions about insurance benefits related to surgery
