About The Position

Functions as the primary coordinator for scheduling surgical procedures and coordinating direct admissions. Provides ongoing communications with patients, families, surgeons, and staff to ensure optimal performance of the surgical practice. Communicates scheduling changes to all stakeholders and facilitates education and preparedness of patients for surgical procedures.

Requirements

  • High School Diploma or equivalent required.

Nice To Haves

  • Two years of experience in a medical setting preferred.
  • Previous surgical scheduling experience with knowledge of medical terminology and coding preferred.

Responsibilities

  • Schedules and authorizes surgical procedures in EOD and Main OR for the surgical specialty group during scheduled block time and out of block. Scheduling for both surgeon and PA/FA.
  • Receives verbal orders and or initiates booking sheet.
  • Meets with patient same day to schedule surgical procedures or calls patients with surgery. Information and determines which surgery date would be best.
  • Meets with patients requiring urgent surgeries to expedite care by all providers.
  • Reviews patients’ charts before scheduling to determine if they require pre op testing, have health concerns, or need to be scheduled at a specific location.
  • Research CPT codes and ICD-9 codes for all procedures before scheduling.
  • Enters surgical orders into Epic along with preop labs and x-rays, then pended to the provider for signature.
  • Contacts both operating rooms once the surgery order is entered and schedules each case with the coordinator to receive surgery times and make.
  • Certain there are no conflicts. Fax booking sheets to EOD after surgery is scheduled.
  • Schedules patients for necessary pre op appointments at EH, as well as joint classes for total joint replacements, schedules all pre op appointments, including clearance, follow-ups, post-ops, etc., when speaking with patients, and enters them into the schedule for providers.
  • Blocks schedule and prints reschedule list if needed.
  • Fills out each surgery packet that is then mailed to the patient Schedules surgeries with CMC OR if requested by physician or patient, completes their booking sheet, schedules a pre op interview for the patient, and provides them with patient information.
  • Enters surgical charges for all providers within the practice daily.
  • Ability to work independently and take initiative.
  • Good judgment and problem-solving skills, Remains knowledgeable of new surgical procedures and equipment to better facilitate scheduling needs. Is aware of the instrument and equipment.
