About The Position

Terminal Scheduler – Job Responsibilities · Directly responsible for scheduling the receipt and delivery of petroleum products and NGLs into and out of terminals via pipelines, marine docks, railcars, and truck racks. · Maintain and update scheduling tools to track customer movements, throughput, and inventories. · Receive and process customer nominations by the 15th of each month for the following month’s business via Transport4 and email. · Review nominations to ensure terminals can safely operate within established supply, demand, and capacity parameters. · Compare inbound supply and outbound demand to project inventories up to 45 days in advance. Pipeline Scheduling · Review and approve pipeline nominations to ensure they do not exceed third-party pipeline or internal tank farm capacity. · Coordinate with third-party pipeline operators to confirm valid nominations and allocate line capacity when required. · Balance inbound and outbound volumes to maintain safe and optimal inventory levels. Marine Dock Scheduling and Vessel Vetting · Review and approve dock nominations to ensure they do not exceed available dock capacity. · Allocate dock capacity using existing contracts and historical throughputs when necessary. · Coordinate vessel vetting with the Marine Tech Department to ensure vessels are approved for safe operation at the docks. · Enter and manage vessel data in the web-based vetting application and follow up with Marine Tech and customers as needed. Railcar Scheduling · Review and approve monthly railcar nominations to ensure compliance with contractual requirements and available capacity. · Coordinate with Operations and Business Development on updated rail nominations. · Allocate rail capacity as needed using historical throughput data and contractual limits. · Communicate daily schedules to support efficient loading, unloading, placement, and switching operations. · Serve as either the primary or secondary point of contact for railcar selection and placement, depending on terminal. · Utilize Kaleris, Norfolk Southern, CSX, and Conrail systems, along with internal spreadsheets, to track and schedule rail movements. Truck Rack Scheduling · Review and approve monthly truck rack nominations to ensure outbound demand aligns with inbound supply. · Monitor 45-day inventory projections to prevent customer runouts or excessive inventory levels and work with customers to revise plans as needed. · Analyze total truck demand and allocate rack capacity when necessary to avoid congestion, delays, or unratable demand. Daily Scheduling and Reporting · Continuously update daily schedules to reflect real-time movements and inventory projections. · Utilize scheduling and inventory systems including Transport4, TerminalSmart, Toptech, and internal spreadsheets. · Issue daily schedule and utilization reports to operations, customers, third-party inspectors, accounting, and business development. Inventory Management · Perform daily inventory tracking for fungible rack customers to ensure operations remain within agreed-upon parameters and prevent terminal runouts or overfills. · Utilize standardized inventory tracking formats across terminals to streamline processes. · Review and update fungible rack space allocations monthly in coordination with business development to optimize rack utilization. · Track leased storage customer inventories daily to ensure compliance with contractual requirements. Cross-Functional Coordination and Business Support · Maintain frequent verbal and written communication with operations, business development, quality, accounting, and customers to ensure alignment and prevent conflicts. · Support business growth initiatives by identifying new transportation options, operational efficiencies, and capacity expansion opportunities. · Serve as the primary coordinator for seasonal RVP gasoline conversions, working months in advance with operations, business development, quality, and customers. · Develop advanced schedules to support tank rolling, stripping, and preparation for seasonal product changes. Availability · Available on call 24/7 to resolve scheduling conflicts, operational disruptions, and inventory issues. Prior Experience · Education: Bachelor's degree or equivalent work experience · Work Experience: 5-8 years of relevant experience. 2+ in industry preferred.
