About The Position

Trailside RV Center is seeking a detail-oriented and experienced Biller/Title Clerk to join our growing team in Grain Valley, Missouri. This full-time position plays a critical role in the accurate processing of all vehicle sales transactions, title transfers, and finance document preparation. The ideal candidate brings hands-on dealership or automotive experience and thrives in a fast-paced, compliance-focused environment.

Requirements

  • Minimum 2 years of experience in an automotive, RV, or dealership title/billing role
  • Demonstrated knowledge of vehicle titling procedures, specifically Missouri DMV requirements (out-of-state experience considered)
  • Experience preparing and reviewing retail finance documents and deal packages
  • Strong attention to detail with a high degree of accuracy in data entry and document review
  • Ability to prioritize and manage multiple deal files simultaneously in a deadline-driven environment
  • Professional communication skills and the ability to work effectively with customers, lenders, and state agencies

Nice To Haves

  • Experience with RV or automotive dealership titling and billing
  • Familiarity with a dealer management system (DMS) such as IDS, CDK, or Reynolds & Reynolds
  • Knowledge of Missouri motor vehicle sales tax regulations and fee structures
  • Previous experience coordinating with floorplan lenders or financial institutions

Responsibilities

  • Prepare and submit title applications to the Missouri Department of Revenue accurately and on time
  • Process title transfers for all new and pre-owned RV and vehicle sales
  • Ensure compliance with state and local titling regulations and lien documentation requirements
  • Track and follow up on outstanding titles, resolving issues with lienholders, customers, and the DMV
  • Maintain organized title files and ensure timely release of titles to customers and financial institutions
  • Prepare all deal jackets and finance packages for sales transactions, ensuring accuracy and completeness
  • Generate and review buyer's orders, retail installment contracts, and all associated closing documents
  • Coordinate with the finance department to ensure all lender stipulations and funding conditions are met
  • Submit funded deal packages to lenders and track funding status through completion
  • Reconcile funded deals and post transactions accurately in the dealer management system (DMS)
  • Bill out all new and pre-owned unit sales, ensuring correct cost, gross, and fee calculations
  • Process trade-in payoffs and verify payoff amounts with lienholders
  • Maintain accurate records in support of month-end closing and accounting reconciliation
  • Coordinate with the office manager and accounting team to resolve billing discrepancies
  • Maintain deal files in compliance with federal, state, and dealership policy requirements
  • Ensure accurate completion of all odometer disclosures, trade equity documents, and lender-required addenda
  • Assist with sales tax calculations, remittance, and reporting as required
  • Serve as a resource to the sales and finance teams regarding titling and documentation requirements
