About The Position

The Traffic Coordinator supports the smooth scheduling, tracking, and movement of work, materials, or media through a defined workflow. This role coordinates timelines, routes requests to the right people, monitors due dates, and communicates status updates to keep projects on schedule and stakeholders informed.

Requirements

  • High school diploma or equivalent (Associate’s degree preferred).
  • 1–3 years of coordination, logistics, scheduling, operations, or project support experience (industry-specific experience a plus).
  • Familiarity with production, shipping/receiving, advertising/media traffic, or creative services workflows (depending on industry).
  • Ability to analyze capacity, turnaround times, and recurring bottlenecks.
  • Strong organizational skills and ability to manage multiple priorities in a deadline-driven environment.
  • Clear written and verbal communication; professional follow-up and customer-service mindset.
  • Proficiency with Microsoft Excel/Google Sheets and basic reporting/tracking.
  • Attention to detail and accuracy with documentation and data entry.

Responsibilities

  • Coordinate daily traffic/workflow for incoming requests, jobs, or shipments and assign them to appropriate teams or vendors.
  • Maintain schedules, calendars, and job queues; prioritize work based on deadlines and capacity.
  • Track job status from intake through completion; follow up to prevent delays and resolve bottlenecks.
  • Prepare and distribute status reports (e.g., daily/weekly production or delivery updates).
  • Ensure required documentation is complete and accurate (work orders, purchase orders, shipping paperwork, job tickets, creative briefs, etc.).
  • Communicate changes in timelines, requirements, or priorities to internal teams and external partners.
  • Verify deliverables meet basic requirements before release (correct specs, quantities, formats, routing, approvals).
  • Support process improvements by identifying recurring issues and suggesting workflow solutions.
  • Maintain organized records in tracking systems (spreadsheets, ERP/WMS, project management tools, or traffic software).
  • Assist with escalation of urgent issues and coordinate rework, reschedules, or expedited handling as needed.
