About The Position

The Trust Services team is committed to taking the time to understand our clients’ financial and estate planning goals and objectives, while working closely with other professionals and advisors to achieve a comprehensive wealth management strategy. We will coordinate the resources a client needs, which will typically include traditional trust, investment advisory, estate planning, retirement planning, and private banking services. It is the goal of the Trust Administrator to enhance the client relationship by providing comprehensive assistance to the Trust Officers as they work closely with the clients. The Trust Administrator provides administrative, operational, and client service support to Trust Officers, Portfolio Managers, and the Trust Services team to ensure the efficient, accurate, and compliant administration of trust, agency, and custody accounts. The Trust Administrator also works closely with the internal operations team to act as a back-up to complete on-site operations tasks. The Trust Administrator role is an in-office position due its collaborative nature and importance to the Trust Team.

Requirements

  • Associate’s degree in applicable business-related field.
  • 3 years of progressively responsible experience in trust administration, fiduciary services, financial services, banking, or related field.
  • Working knowledge of trust, agency, and custody account administration, including trust governing documents and fiduciary processes.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook), including the ability to prepare reports, correspondence, and track administrative workflows.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and detailed account information in a fast-paced environment.
  • Demonstrated ability to communicate clearly and professionally with clients, beneficiaries, attorneys, CPAs, and internal partners.
  • Ability to exercise sound judgment, maintain confidentiality, and adhere to internal controls, policies, and regulatory requirements.

  • Prior experience in trust services, fiduciary administration, wealth management, banking, or a legal environment.
  • Familiarity with revocable and irrevocable trusts, ILITs, special needs trusts, probate accounts, and fiduciary tax concepts.
  • Experience working with trust accounting systems, document management platforms, and operational workflows.
  • Knowledge of fiduciary regulations, bank policies, compliance standards, and audit/examination processes.
  • Strong analytical skills, including the ability to review account activity, identify discrepancies, and resolve routine issues.
  • Demonstrated ability to work independently with minimal supervision, while also collaborating effectively within a team environment.
  • Solid math and analytical skills, including the ability to calculate interest, review balances, identify errors, and compute rates, ratios, and percentages.

Responsibilities

  • Provides day-to-day administrative and operational support to Trust Officers in the administration of revocable and irrevocable trusts, irrevocable life insurance trusts (ILITs), special needs trusts, probate, and custody accounts.
  • Serves as a primary point of contact for routine inquiries from clients, beneficiaries, attorneys, CPAs, and internal partners; responds promptly and professionally, escalating complex matters as appropriate.
  • Builds and maintains positive working relationships with clients and beneficiaries by understanding their needs and effectively communicating relevant information to Trust Officers.
  • Reviews trust governing documents, amendments, court orders, and related materials to identify administrative requirements, restrictions, deadlines, and follow-up items.
  • Assists with opening new accounts by gathering required documentation, reviewing information for completeness, tracking outstanding items, and completing new account forms and checklists.
  • Maintains accurate and organized trust account files and electronic records in accordance with bank policy, regulatory requirements, and record retention standards.
  • Monitors trust account activity, including daily transaction reviews, overdrafts, automatic deposits, standing remittances, and distributions; identifies and resolves routine issues in coordination with Trust Officers and Operations.
  • Prepares and processes money movement requests, distributions, and routine account maintenance activities in compliance with governing documents and internal controls.
  • Reviews account statements and reports for accuracy, completeness, and unusual activity; researches and resolves discrepancies as needed.
  • Assists with the preparation and delivery of routine trust correspondence, statements, certifications, and client communications.
  • Coordinates scheduling, meetings, and follow-up activities for Trust Officers, including preparation of materials and documentation.
  • Assists with gathering information and documentation for fiduciary tax reporting and collaborating with internal teams and external tax professionals as needed.
  • Supports compliance, audit, and examination activities by responding to information requests and maintaining required documentation.
  • Collaborate with internal partners, including Operations, Private Banking, Investment Management, Legal, and Compliance, to support client needs and resolve issues.
  • Provides backup support for on‑site operations and administrative functions as needed.
  • Participates in department projects, process improvement initiatives, trainings, and ongoing professional development activities.
  • Performs other duties as assigned in support of Trust Services objectives and client relationships.
