The centers provide campus-based direct services and supports at 13 centers located throughout the state. The Clerk II is responsible for maintaining an efficient and well-organized Unit Office. The Clerk II performs moderately complex secretarial work involving answering correspondence, distributing mail, maintaining records and filing and preparing routine reports. The Clerk II functions as the Unit Receptionist and oversees the overall operation of the Unit office. Under the direction of the Unit Director, The Clerk II works under general supervision with moderate latitude for the use of initiative and independent judgement. The Clerk II must be able to read, type and write reports in English.

Requirements

  • Knowledge of business English, spelling, punctuation, arithmetic and office procedures.
  • Knowledge of data processing, calculator and other forms of electronic equipment.
  • Knowledge and use of personal computer and facility associated software.
  • Skilled in machine transcription to take and transcribe dictation, facsimile machine and telephone.
  • Able to: Organize files and maintain neat records, work independently, communicate both orally and in writing.
  • Must possess valid Texas driver’s license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
  • High School Diploma or GED.

Nice To Haves

  • Knowledge and skill in the proficient use of a personal computer is preferred.
  • Some experience maintaining records, files, documents, and/or spreadsheets.
  • Knowledge of Unit policy and procedures is preferred.
  • Skills and abilities in the areas of spelling, punctuation, grammar, and mathematics is preferred.

Responsibilities

  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Effectively performs routine secretarial duties and serves as the Unit Receptionist.
  • Effectively ensures that the appropriate unit supplies and purchases are obtained utilizing state and local procedures and methods.
  • Maintains effective communication with Unit Director and acts as liaison between Unit Director and both unit staff and campus departments. Works harmoniously that result in a cohesive and productive work environment.
  • Complete all assigned documentation accurately and comply with annual training requirements.
  • Must be able to read, type and write English.
  • Must be familiar with Microsoft Office programs such as Excel, Work and Outlook.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligation for disaster response and/or recovery or Continuity of operations (COOP) activation. Such participation may require alternate shift assignments and/or pattern or location. Possibility of shift hour changes that may include weekends and/or holidays.
