About The Position

Sheridan Community Hospital is seeking a compassionate, organized, and detail-oriented Unit Clerk to support daily operations within our Specialty Clinic. This role serves as the first point of contact for patients and visitors while coordinating provider schedules, referrals, diagnostic orders, authorizations, and medical records across cardiology, orthopedics, general surgery, and other visiting specialties. The Unit Clerk plays a vital role in ensuring efficient patient flow, accurate registration and documentation, and a positive patient experience—while supporting clinical teams and revenue cycle processes in our rural Critical Access Hospital environment.

Requirements

  • High school diploma or GED required
  • Minimum 1 year experience in clerical, patient access, or medical office setting (hospital or specialty clinic preferred)
  • Proficiency with EHR systems (Epic, Cerner, Meditech, or similar)
  • Understanding of referrals, prior authorizations, and documentation workflows
  • Excellent customer service and de-escalation skills
  • Strong organization, attention to detail, and multitasking ability
  • Basic medical terminology
  • Professional, dependable team player who maintains confidentiality
  • Frequent sitting, standing, and walking
  • Ability to lift up to 20 lbs intermittently
  • Extended computer and phone use
  • Ability to manage multiple priorities in a fast-paced clinic environment

Nice To Haves

  • Associate degree in healthcare administration or related field preferred
  • Rural healthcare or Critical Access Hospital experience preferred
  • Familiarity with diagnostics such as EKG, echo, and X-ray preferred
  • BLS (AHA or equivalent)
  • Certified Healthcare Access Associate (CHAA) or similar credential

Responsibilities

  • Greet patients and visitors warmly; verify identity, demographics, insurance, and consent forms
  • Complete registration, scheduling, check-in/check-out, co-pay collection, and after-visit summaries
  • Manage lobby flow, phone lines, voicemail, and patient portal messages
  • Provide excellent customer service in all interactions
  • Prepare daily clinic schedules and assemble charts for visiting specialists
  • Coordinate outside records, imaging, and labs; scan and route documents in the EHR
  • Initiate and track referrals, prior authorizations, and diagnostic orders
  • Communicate outcomes to patients and care teams
  • Maintain provider templates for multiple specialties
  • Optimize appointment utilization and reduce no-shows through reminders
  • Schedule follow-ups, procedures, and telehealth visits
  • Assist with same-day add-ons and urgent appointments
  • Ensure accurate encounter documentation and charge readiness
  • Verify insurance eligibility and authorization requirements
  • Reconcile daily schedules against encounters and flag discrepancies
  • Deliver clear, compassionate communication tailored to rural patient needs
  • Route messages promptly to providers and nursing staff
  • Assist with patient education materials
  • Maintain compliance with HIPAA, EMTALA (when applicable), OSHA, and hospital policies
  • Protect PHI at all times
  • Participate in safety huddles, incident reporting, and emergency workflows
  • Use EHR, scheduling, and revenue cycle systems proficiently
  • Assist with inventory, supply ordering, and clinic readiness
  • Support quality improvement and patient experience initiatives
  • Perform other duties as assigned
