About The Position

The Vehicle Fleet Manager is responsible for overseeing and managing the company’s fleet of Department of Transportation (DOT) and non-DOT vehicles to ensure safe, efficient, and compliant operations. This role works closely with the Truck Superintendent and Trucking Supervisor to manage vehicle compliance, maintenance, utilization, and administrative operations. The Fleet Manager serves as a key operational support role by maintaining regulatory compliance, coordinating vehicle logistics, managing fleet documentation, and supporting daily dispatch operations. This position also oversees the company’s Enterprise Lease Program and Vehicle Reimbursement Program, ensuring policies and procedures are properly implemented and maintained. The ideal candidate will possess strong administrative and organizational skills, working knowledge of DOT regulations, and the ability to manage multiple operational and compliance responsibilities while maintaining accurate documentation and communication across departments.

Responsibilities

  • Maintain accurate records for all DOT and non-DOT vehicles including registrations, insurance, inspections, and maintenance documentation.
  • Coordinate vehicle assignments, replacements, and disposals with the fleet management team.
  • Monitor fleet utilization and provide recommendations to optimize fleet size and efficiency.
  • Develop and implement fleet policies and procedures to ensure effective vehicle management.
  • Manage fleet fuel accounts, fuel cards, and related tracking.
  • Oversee the vehicle incident management process from start to resolution, ensuring decisions align with company interests.
  • Coordinate or perform vehicle outfitting and modifications such as running boards, toolboxes, and related equipment.
  • Install and manage portable fleet technology including Samsara camera systems.
  • Track and maintain vehicle inspection records including DVIR reports.
  • Monitor scheduled maintenance intervals and coordinate repairs with mechanics and vendors.
  • Ensure parts availability and timely service completion to minimize downtime.
  • Support the Truck Superintendent with daily dispatch operations for haul trucks, runner trucks, and water trucks.
  • Prepare and distribute driver schedules, load assignments, and route updates.
  • Monitor truck locations and assist in adjusting dispatch plans to maintain on-time performance.
  • Maintain daily operational records including inspection reports and repair logs.
  • Ensure fleet compliance with all federal, state, and local DOT regulations.
  • Stay current with DOT regulatory changes and communicate updates to management and drivers.
  • Manage renewals for vehicle registrations, permits, inspections, and licenses.
  • Maintain accurate documentation for vehicle and driver compliance records.
  • Perform electronic maintenance reporting (EMaintenance).
  • Maintain organized records for FMCSA, DOT, and Texas Department of Transportation audits.
  • Assist with regulatory filings including: MCS-150, Unified Carrier Registration (UCR), IRS Form 2290, CAB cards
  • Assist with driver onboarding including: Background checks, PSP reports, Clearinghouse queries, DOT medical card verification
  • Maintain driver qualification (DQ) files including: Medical cards, Driver licenses, Compliance and disciplinary records
  • Monitor and update driver data in fleet safety and compliance systems such as: Samba Safety, LYTX, GeoTab, Samsara
  • Fleet Mentor
  • Communicate company policies, procedures, and safety updates to drivers.
  • Liaise with vendors, service providers, and government agencies regarding fleet-related services.
  • Coordinate with Enterprise on lease vehicle selection and contract administration.
  • Manage relationships with third-party vendors including maintenance providers and fuel suppliers.
  • Collaborate with internal departments including operations, HR, finance, and legal regarding fleet operations and compliance.
  • Track and analyze fleet performance metrics including fuel usage, maintenance costs, and vehicle incidents.
  • Generate reports on fleet performance, compliance status, and operational efficiency.
  • Identify cost-saving opportunities and process improvements for fleet operations.
  • Prepare operational summaries and reports for management review.
  • Prepare vendor invoices and supporting documentation for approval.
  • Maintain fleet expense tracking including fuel PIN assignments and mileage records.
  • Assist with haul rate documentation and aggregate pricing coordination with project managers.
  • Generate reports and documentation requested by the Truck Superintendent or leadership team.
