About The Position

The Vendor Management Analyst administers the Vendor Management Program and ensures the integrity of special accounts. This role serves as an enterprise resource, coordinating third-party lifecycles—from selection and risk vetting to performance monitoring—to align with strategic standards. The incumbent provides oversight and coordination for the setup of fiduciary, trust, and estate accounts, as well as power of attorney, managing sensitive transitions and complex account research. By auditing internal processes, handling death notifications and follow ups, and resolving escalated member issues, the Analyst ensures operational accuracy and quality control. This position protects the organization through precise account management and proactive risk mitigation.

Requirements

  • Two-year associate’s degree in business or a related area required
  • Three years of experience working in a financial institution or experience in a related position required
  • Experience with consumer and business financial institutions, products and services required.
  • Basic knowledge of financial institution fundamentals required.
  • Excellent listening skills.
  • Excellent written and verbal communication skills.
  • Strong people skills with the ability to collaborate with other employees.
  • Possess good judgment and committed to not disclosing confidential information.
  • Strong multi-tasking and critical thinking skills

Nice To Haves

  • Review of documents in relation to consumer depository and loan accounts preferred.
  • Demonstrated experience setting up new accounts in a financial institution preferred.
  • Knowledge of branch operations preferred.
  • Knowledge of financial institution core and information systems preferred.
  • Knowledge of policies and procedures interpretation and adherence preferred.
  • Knowledge of reading and interpreting NCUA regulations is preferred.
  • Basic knowledge of audit procedures is preferred

Responsibilities

  • Assumes the responsibility to support the administrative, analysis, and risk mitigation efforts of the Risk and Quality Control area, including Vendor Management and Quality Assurance. In addition to ensuring post audit/exam processes enhancement, policies corrections, BSA-Fraud and Compliance reports are completed accurately and timely.
  • Lead the vendor management procurement process from selecting vendors, to coordination of risk assessments, to the collection of required financial, insurance, service organization controls (SOC) report, and other required documentation.
  • Coordinates final review and approval of moderate and critical risk vendors with Vendor Review Team.
  • Provide vendor management training to Management and delegated staff for the accurate and timely completion of vendor onboarding and annual risk assessments.
  • Responsible for the coordination and gathering and safekeeping of signed contracts and the maintenance of both internal and cloud-based database documents.
  • Assumes responsibility for providing high quality service to branch staff and management, operations support, consumer lending, and account recovery areas.
  • Assist in the development and maintenance of required forms, documents, procedures to be current and compliant.
  • Provide requested audit and other compliance related support as requested.
  • Assist in the development and maintenance of job procedures for each function performed.
  • Assist in special projects and tasks as directed.
  • Assists branch staff with required documentation for personal, business and other special account situations
  • Reviews a selection of new personal and special accounts opened within the last 60 days as a secondary audit for completeness and correct documentation.
  • Reviews a selection of new commercial loans funded within the last 60 days as a secondary audit for completeness and correct documentation.
  • Assumes responsibility for establishing and maintaining effective communication and coordination with branches and departments.
