Optical Operations: In periods of high optical demand or staffing need, directly assist with eyewear selection to ensure prescriptions, comfort, and insurance coverage are appropriately met, while guiding and supporting opticians. Provide hands-on support with dispensing, adjustments, and repairs during high-acuity situations, coaching opticians on patient education and troubleshooting. Oversee and, when needed, assist with accurate charting and documentation to ensure compliance with policies and clinical standards. (20%) Clinical Operations: During periods of increased clinical demand or staffing need, provides direct patient-care support to ensure clinic flow and continuity of care, including patient preparation and intake, appropriate pre-testing and imaging, administration of provider-directed diagnostic drops with patient education, and coordination and tracking of external referrals. (20%) Front Desk Operations: During periods of increased front-desk demand or staffing need, provides operational support to maintain patient access and clinic flow, including professional phone triage and scheduling, patient check-in and check-out processes, insurance verification and payment classification, and accurate data entry in accordance with front-desk and billing policies. (20%) Clinic Oversight: Monitors site operations to ensure compliance of company and department policies, procedures, and protocols. Ensures maximum efficiency and productivity is maintained. Responsible for tracking completion of patient recall lists, pre-visit planning, and insurance verifications to ensure productivity targets met. Maintains adequate inventory, confirms equipment is in good repair. Make recommendations for site improvement. (10%) Staff Oversight: Directly supervises eye care support personnel. Completes reviews of support staff in a timely manner. Collaborates with vision services manager on staff recruitment, training and retention. Professional conflict resolution among staff as needed. Leads monthly staff meetings. (15%) Quality: Responsible for patient satisfaction of optical orders of lenses, frames, and contact lenses. Assists with site patient surveys. Makes recommendations for quality assurances and departmental policies. (10%) Collections: Process daily optical deposits. In collaboration with vision services manager and operations specialist, confirms finance and billing functions are accurate, complete, and timely (i.e. patient data collection, sliding fee applications, and collection of co-pays).
