The Warehouse Office Administrator is responsible for processing all paperwork for shipments (i.e. printing pick lists, labels, and bill of ladings) to ensure our customers receive their product in a timely manner. Also responsible for updating daily reports and other miscellaneous tasks as listed below. This position consists of all duties and responsibilities listed below and ad hoc duties as required.

Responsibilities

  • Responsible for downloading and printing batch paperwork in a quick and accurate and speedy manner.
  • Create and update Batch Matrix check sheet, Shipping, Timing and Delayed reports daily for the Wholesale Shipping department.
  • Printing and giving to the Shipping Lead, BOLs (LTL, FedEx and UPS) that come in via email, within 30 minutes of receiving them Includes updating the date/time, carrier and PL # on the log and updating all the associated reports with this information. Also includes adding the necessary information to the bottom of the labels so the warehouse can properly locate the item(s) the labels are for.
  • Printing Rush reports and giving to Wholesale lead in a quick and timely manner as to ensure we are meeting our 24-hour processing mark.
  • Assist in researching any missing or mis-shipped items by checking the tracking numbers, emailing the inventory team to run stock checks, and checking with the Wholesale Lead to see if product is still here waiting for labels, etc.
  • Answer/reply to any other emails in a timely manner.
  • Process swatch requests by looking up the item swatch code and then finding the swatch and getting it ready to ship.
  • Scan and email signed BOLs to Logistics. Update timing and shipping reports with this information and file BOLs in appropriate folders.
  • Look up items in SAP as needed to get descriptions, availability, last time ordered, etc.
  • Answer phone as needed.
  • Prioritizing work so important documents get dealt with first.
  • Organize and maintain hard copy and electronic documentation supporting order fulfillment, distribution, and contractual obligations.
  • Gather information, apply known procedures, and relay information accurately to others.
  • Exercise sound judgment in dealing with professional and personal situations.
  • Other duties as assigned that support the department.
