The Warehouse Supervisor responsibilities include supporting supply chain procedures, from receiving, picking, packing and coordinating deliveries to managing shipping documentation and managing inventory data in the VIKAND ERP. Ultimately, this role will ensure our customers receive the correct orders on time, as well as share accurate and up-to-date information for both internal and external clients. While there is some manual labor involved as the orders/shipments move through the process, there is also the important administrative work that you will be responsible for as well. For the right candidate, the goal is to have this person take on a managerial role, leading other members on the warehouse team and to be responsible for the overall organization and execution of the order fulfillment cycle. Since VIKAND is team-focused, this role will work onsite at our head office in Fort Lauderdale, Florida.

Requirements

  • Work experience as a Logistics Coordinator, Warehouse Administrator or similar role
  • Knowledge of international shipping and customs processes, LGA’s, incoterms and HTS codes, as well as FDA documentation is required
  • Excellent organizational and time-management skills with attention to detail
  • Strong written and verbal communication skills
  • Proficiency & experience working with Microsoft Windows, Word, Excel, OneDrive, Teams, Outlook and other various platforms are vital. Knowledge of Dynamics Business Central ERP is a plus

Nice To Haves

  • Experience within the maritime industry is strongly desired but not required. 1-2-years’ experience in working with customs and duty agents for shipping and lading packages is preferred.
  • Knowledge of pharmaceuticals and shipping requirements for product is a plus
  • HAZMAT certification and/or knowledge of hazardous procedures would be appreciated. VIKAND is willing to train.

Responsibilities

  • Shipping and receiving of all products. This will include pharmaceuticals, cold chain items, disposable medical supplies and medical/durable equipment.
  • Receiving and stocking of product. This will include management of expirations dates, both physically and inputting data into the ERP in a timely fashion.
  • Plan shipments based on variables such as product availability, customer requested delivery date, transit time, etc. It will be important to consolidate all pending orders as to keep shipping costs low.
  • Tracking orders and follow-up to ensure timely deliveries. Constant communication with port agents and other parties as necessary.
  • Preparing shipping documents (BOL’s, FDA documents, commercial invoices and packing slips and address labels.)
  • Perform shipping tasks in shipping and receiving packages both domestically and internationally
  • Maintain shipping logs for items shipped and received, as well as excel and Smartsheet documents for special projects such as new builds.
  • Create, send, and track required FDA documents to directly support biomedical repair process on inbound equipment.
  • Update the ERP system with latest data, as necessary. This is a pivotal function that is vital to the efficient operation of the department.
  • Liase with accounting, procurement, and client services teams with proper flow of paperwork and communication.
  • Responsible for requesting and uploading proof of Delivery (POD) into the system in a timely fashion.
  • Communicate via email with the Biomed team the pertinent information regarding shipping/delivery status of items on work orders, including tracking information, costs and dates. This will include managing the TMS software, our asset management system, with the correct and up-to-date data such as tracking number, shipping updates and other comments as necessary
  • Knowledge of itineraries and planning schedules
  • Updating client website with shipping status.
  • Be able to work autonomously and make decisions that meet the strategic needs of the project.
  • Managing monthly distribution of First Aid kits for the USCG
  • Perform other tasks as needed.
