About The Position

The University of Nevada, Reno is recruiting for an Accounting Assistant 3 for the Facilities Services Department. This position is responsible for providing clerical accounting, budgeting, reporting and fiscal assistance to the Facilities Services Department. Duties include (but are not limited to): Process and maintain detailed financial records and accounting for Facilities Services programs as assigned; Provide financial and budgeting support and guidance to assigned program department management and staff; Receive transaction requests and reviews for accuracy, completion and determine the proper handling for the request; Responsible for reconciling orders from initial creation through final invoice payment to ensure accurate and complete financial processing; Support Facilities Maintenance Services (FMS) warehouse operations through efficient order management and workflow coordination; Prepare, process, log, and track all purchase orders, blanket purchase orders, annual service agreements, internal purchase orders, and related invoices for responsible area; Record, track and bill receivables and tracks or deposits customer billing as needed; Verify P-Card purchases for assigned P-Cards; Enter sensitive equipment records and fixed assets in Asset Works and subsequently transfer updated assets to correct owner; Maintain program account spreadsheets and reconciles spreadsheets to Workday Manager Balance report monthly to ensure accuracy and completion; Understand University Manual and follow guidance and rules associated with tasks performed; Follow Accounting Services desk manual and update as needed when processes change; Identify errors and how to correct and process the transaction; Assist in establishing phone, long distance codes and cell phones service as needed; Download monthly phone details to verify data and phone usage as well as maintain an accounting system to track and report on desk and cell phone usage and expenditures; Assist Accountants in data entry tasks as needed and prepare paperwork to complete a budget amendment and send to accountant for processing; Complete special projects as assigned and projects of limited duration for the Accounting Assistant Director; and Other duties as assigned.

Requirements

  • graduation from high school or equivalent education and three (3) years of progressively responsible clerical accounting experience which included duties such as responsibility for accounts payable, accounts receivable, payroll and/or other accounting data; setting up computer spreadsheets to record, track organize and report data; researching and interpreting financial to data prepare reports and respond to budget and accounts related inquiries; and reconciling accounts; OR One (1) year of experience as an Accounting Assistant II in Nevada State service which included clerical accounting duties as described above; OR An equivalent combination of education and experience as described above
  • A valid Class “C” driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment.
