About The Position

ACT360 is a growing technology services provider in the search for a hands-on Accounting & Finance Specialist to take full ownership of financial operations, drive process improvement, and ensure billing and vendor workflows are accurate, efficient, and scalable. In this role, you’ll manage invoicing, reconciliations, and vendor payments —while introducing automation and financial controls that support growth. You’ll also oversee the financial systems stack, guide platform migrations, and ensure every billable item and client contract is handled properly. Requirements

  • 4–6 years of finance or bookkeeping experience in a service-based business
  • Track record of independently owning end-to-end finance operations
  • Highly organized, analytical, and attentive to detail
  • Able to document processes and solve problems proactively
  • Able to take full ownership, actively improve processes, and be motivated to drive individual growth and development
  • Strong knowledge of QuickBooks and/or Xero
  • Familiarity with PSA/ticketing systems (e.g., ConnectWise, Autotask)
  • Experience managing subscription billing and financial integrations
  • Proven ability to lead systems improvements and financial automation

Responsibilities

  • Own all client billing and ensure accuracy for services and purchased items
  • Cross-check subscription-based billing (e.g., Office 365) and resolve discrepancies
  • Manage receivables and follow up on overdue payments
  • Process vendor bills, reimbursements, credit card charges, and refunds
  • Order and track parts/software with precision, ensuring correct vendors and delivery logistics
  • Maintain vendor relationships and negotiate improved terms
  • Reconcile accounts monthly (bank, credit card, vendor)
  • Deliver monthly cash flow forecasts (60 days out), profitability reports, and P&Ls
  • Maintain and audit client contracts and paperwork
  • Implement automated workflows for billing and reporting
  • Evaluate and lead system migrations (e.g., from Xero to QuickBooks)
  • Manage platform integrations, financial settings, and backend configurations
