The Accounts Receivable Specialist will be responsible for all billing, collecting, and accounting of accounts receivable. Other duties include assisting Accountants when needed. May also assume other administrative responsibilities in the Finance Department as needed.

  • Knowledge of Microsoft Suite applications, PowerPoint, Word, and Excel (Pivot tables, VLOOKUPS) is essential.
  • Bachelor’s degree from an accredited four-year college or university preferred. A Bachelor’s degree may substitute for 4 years of work experience.
  • A minimum of five years in Accounts Receivable (A/R) and/or Accounting.
  • OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance.
  • Working knowledge of personal computer, fax machines, telephone systems, photocopier, postage machine and 10-key adding machine.
  • Reliable automotive transportation required.

Nice To Haves

  • Knowledge of NetSuite is preferred but not necessary.

Responsibilities

  • Prepare invoices for all organ, tissue and eye bank activity, as well as other miscellaneous invoices.
  • Record and apply payments to customer invoices timely and accurately.
  • Review requests for credits, determine eligibility and create credit memos timely and accurately.
  • Respond to customer and accounts receivable calls and emails timely.
  • Review account receivable aging reports at least weekly and follow-up with external and internal customers regarding overdue balances and accounts receivable issues timely to ensure our aging remains within our set goals.
  • Prepare monthly account receivable allowance analysis and calculation in accordance with ASC 606 Revenue Recognition.
  • Conduct account research and perform account receivable related analyses as needed.
  • Perform monthly account receivable and allowance reconciliations as it relates to the monthly and year end close.
  • Maintain accounts receivable and customer records.
  • Review contracts to ensure compliance with all terms.
  • Attend scheduled meetings.
  • Assist Accounting Manager in preparation of monthly financial statements.
  • Assist in year-end independent audit as needed.
  • Review and update internal documented procedures as necessary
  • Serve on various OneLegacy committees as needed.
  • Perform administrative duties as needed in Finance & Accounting Department
  • Supports the organization’s Standards of Professional Conduct as outlined in the OneLegacy Employee Handbook, and the mission, vision and values.
  • Performs other duties as assigned by the Accounting Manager.
