About The Position

Administrative Services Coordinator is responsible for the receipt, processing and distribution of all project documents received from internal and third party clients according to Zachry standard operating procedures. This position often requires multitasking to execute key functions that this role requires. Above average communication and interaction skills are important for success in this role.

Requirements

  • High School Degree
  • 0-3 years of administrative experience

Responsibilities

  • Receiving, tracking, distributing project documents
  • Scanning, indexing, and linking project documents within PPMS, Feith, Oracle, the S-drive or other databases as required.
  • Preparing, maintaining and presenting daily/weekly reports
  • Input notes into PPMS system which reflect the status of documents.
  • Follow up continuously on documents until documents are returned.
  • Preparing RFP Packages
  • FedEx - Mailing; Receiving, logging and distributing mail
  • Create file folder and filing project documents
  • Track & log documents sent to approval designee’s for execution
  • Obtain certificates of insurance (COI) from suppliers & update within the PPMS system.
