About The Position

The Administrative Aide provides administrative support for the Department of Periodontology pre-doctoral and post-graduate programs, including developing, maintaining, coordinating, and communicating with internal and external patients for the post-graduate program.

Requirements

  • High School Diploma or GED. (TRANSCRIPT REQUIRED)
  • Two (2) years of administrative support experience; OR Associate’s Degree in lieu of experience.
  • Ability to work independently and prioritize tasks.
  • Strong computer skills with Microsoft Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills to interact with faculty, staff, patients, students, and vendors.

Responsibilities

  • Coordinates communication between the Chair, Graduate Program Director, and College of Dentistry administration.
  • Answers and responds to incoming calls, email communication, mail, etc.; schedules departmental meetings; takes and prepares minutes for distribution to faculty and college administration.
  • Arranges and processes travel requests, estimates, and reimbursement requests for faculty.
  • Assists in ordering equipment and supplies as needed; completes requisitions.
  • Assists with the PASS application process including receiving, filing, and distributing application materials sent to the program director.
  • Assists in maintaining the pre-doctoral and post-graduate education website and coordinates with university Communications and Marketing as appropriate.
  • Processes referrals from external sources, registers patients in TDO software and Axium, as appropriate; uploads appropriate documentation for scheduling by patient care coordinators.
  • Generates and distributes exception reports for residents twice monthly to include outstanding balances, incomplete patient records, and the presence of case reports to be downloaded to Axium.
  • Assists new faculty with the orientation process as appropriate.
  • Updates, edits, and posts course syllabi as directed by faculty.
  • Prepares documents for D2 practice exams and coordinates grading by faculty, posts grades, and administers remediation tests at the direction of faculty.
  • Assists in calculating final grades for D2, D3, and D4 students; assists faculty with recycling Blackboard courses and archiving course content.
  • Performs other related duties as assigned.
