We’re looking for an Administrative Assistant I who’s enthusiastic about organization and dedicated to keeping operations running seamlessly. This entry-level role supports a wide range of administrative activities and is ideal for someone who thrives on creating order out of complexity and takes pride in being a reliable, detail-focused contributor. In this role, you’ll independently organize and prioritize recurring tasks within established guidelines and perform routine assignments that help keep your team moving forward. You’ll also identify and resolve problems of limited scope and support the team by managing information, documentation, and day-to-day administrative needs. Start times are no earlier than 6 a.m. and end times no later than 6 p.m. Hybrid: Metropolitan’s current practice in this position is a hybrid work schedule. This typically includes two days a week in person and the other days remote. This is subject to change dependent on organizational needs. In addition, a telework policy is scheduled for negotiations and once completed and implemented, will provide final direction on the hybrid schedule.

Requirements

  • Education and Experience: A high school diploma or high school equivalency certificate and four years of relevant experience; or associate’s degree from an accredited college or university in a related field and two years of relevant experience; or bachelor’s degree from an accredited college or university in a related field.
  • Relevant Experience is defined as: administrative work experience
  • Applicants for employment with The Metropolitan Water District of Southern California must have work authorization that does not now or in the future require sponsorship of a visa for employment authorization in the United States (i.e., H1-B or other employment-based immigration case).

Responsibilities

  • Assist with essential administrative tasks including purchasing supplies with a procurement card, managing mail, and answering/routing questions and visitors with a helpful, customer-focused attitude.
  • Support day-to-day financial processes by handling a variety purchases, payment reconciliation, and invoice tracking utilizing financial systems like Oracle.
  • Serve as the group contact for office supplies, calendar maintenance, timekeeper, and employee emergency contact information.
  • Manage sensitive files and confidential information with professionalism and discretion.
  • Organize, update, and archive files—including records, reports, and documents—ensuring information is easy to locate and maintained according to established procedures.
  • Coordinate travel requests and expense reporting with precision and efficiency.
  • Bring people together by organizing facility events and meetings.
  • Provide administrative support to Information Technology teams contributing to a well-organized and efficient office environment.
