Comunale is seeking an Administrative Assistant to support Inspection department in the Reading branch. Duties include scheduling, inventory, and accounting responsibilities and project-based work. Project a professional company image through in-person and phone interaction. Other duties may be required as assigned by the Service Manager or Branch Manager.

Requirements

  • High School Diploma or GED is required.
  • 3+ years of administrative experience is required.
  • Proven knowledge of Microsoft Office Software (i.e. Word, PowerPoint, and particularly Excel) is required.
  • Knowledge of general office machines and telephone systems is required.

Nice To Haves

  • Previous construction industry experience is a plus.

Responsibilities

  • Maintain all records in Falcon, including opening tickets, creating new sites, and printing off monthly work orders for all inspectors.
  • Take incoming inspections calls and distribute to inspectors.
  • Order material and equipment for inspectors as needed.
  • Distribute inspections and service work to subcontractors.
  • Responsible for mailing, faxing, photocopying, answering phones, and filing.
  • Assist Service Manager with scheduling manpower for inspectors and inspector trainees.
  • Maintain records of licensing and certifications for assigned personnel for the Service Department.
  • Assist in handling any issues or corrections needed by the corporate office for the Service Department.
  • Take incoming service calls and handle customer requests for branch Service Department.
  • Update google calendar daily for inspectors and inspector trainees’ schedules.
  • Schedule inspections for branch office as well as those assigned by the National Accounts division.
  • Schedule service work and communicating with the customer, service technician and inspectors on a daily basis.
