About The Position

The Plant Administrative Assistant is responsible for aligning business objectives with employees and management in order to develop and promote “Best in Class” departmental teams that are focused on Total Plant Operational Excellence. The Plant Administrative Assistant will work under limited supervision, provide high-level administrative support to all departments, and not require instructions for routine assignments; requires some general instructions for new or special assignments.

Requirements

  • Excellent verbal and written skills required.
  • Basic computational skills required.
  • Simple math reasoning required.
  • Proficient in using various PC-based software packages including Microsoft Word, Excel, or similar work processing/spreadsheet software.
  • Must demonstrate good judgement when carrying out duties as assigned.
  • High school diploma or equivalent.
  • Minimum 2 years of experience in responsible office/clerical/receptionist/administrative experience.
  • English is required as the written and spoken language.
  • Must possess or be able to acquire a state issued Driver’s License.
  • Personal protective equipment including, but not limited to hearing protection, bump caps, hair and beard nets, gloves, and safety glasses must be used in the performance of duties.
  • Proper lifting techniques must be employed at all times.

Responsibilities

  • Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Conduct research, compile data, and prepare papers for consideration and presentation by management and committees.
  • Greet and assist all visitors entering the location, create and assign badges as needed.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Perform general office duties, including logistical arrangements (meals, refreshments, layout, etc.) for meetings and gatherings of all sorts.
  • Assist in the coordination of special events and monthly events.
  • Monitor and keep inventory of office supplies.
  • File and retrieve business documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Maintain confidentiality in all aspects of VNB, client, and staff information.
  • Maintains a neat a professional area.
  • Anticipate and proactively address the needs of plant team members.
  • Act as a true Business Partner to, and be a part of local Plant Management, to help locations achieve their goals, budgets, and plans.
  • Provide necessary support, advice, counsel, and guidance to line-management and employees in designated locations.
  • Determine and recommend employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale.
  • Responsible to actively support and promote a plant culture that believes in always getting better.
  • Responsible to ensure effective collaboration and positive teamwork between all departments.
  • Always lead by example with integrity and a commitment to always do it right.
  • Responsible to always look forward to identify and prevent potential failure modes.
  • Responsible to identify and share new technologies, new equipment, and new processes that will continue to maintain VNB’s place as the industry leader.
  • Ensure yours, your team members’, and all visitors’ safety by actively supporting all safety programs as part of a “Zero Accident” commitment.
  • Ensure full compliance to all regulatory, customer, and plant quality requirements as part of a personal commitment to always ensure food safety and food quality.

  • Understand all performance criteria and operating results associated with your area of responsibility and constantly meet or exceed these requirements.
  • Maintain Plant/work area inspection ready/tour ready area at all times.
  • Understand sources of waste and actively strive for Zero Waste.
  • Be able to identify when and where your support is needed and be present to give support when needed.
  • Responsible to always represent VNB in a positive manner to vendors, contractors, team members, visitors, etc.
  • Perform other duties as assigned.
