SUMMARY: Provides high-level administrative support and assistance to the Director of Clinical Operations to ensure efficient and productive interactions with organization’s team members and the public. The assistant will handle a wide range of administrative tasks to support the operational needs of the clinic. This is a non-exempt, hourly position.

Requirements

  • High school diploma or GED.
  • A minimum of one (1) year of administrative or clerical experience.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • General knowledge of Microsoft applications including, but not limited to Word and Excel.
  • Ability to operate general office equipment.
  • Ability to maintain confidential information.
  • English.

Nice To Haves

  • Associate’s degree in health administration, or related field.

Responsibilities

  • Assists the Director of Clinical Operations with various projects and functions.
  • Composes professional correspondence and memoranda, E-mails, faxes, letters, and reports.
  • Demonstrates flexibility and adaptability to accommodate the Director’s schedule.
  • Supports various departmental functions and team members.
  • Attends various meetings and takes appropriate action when necessary.
  • Drafts policies and procedures related to clinical operations.
  • Assists in ensuring the clinic runs smoothly in all areas.
  • Helps identify areas of risk and gaps through monitoring and auditing to create action plans.
  • Works collaboratively to help execute quality improvement processes.
  • Ensures ongoing regulatory compliance and readiness through established practices to check for alignment with regulatory standards.
  • Collects and analyzes data related to the patient experience and reports on trends and opportunities for improvement.
  • Maintains a high level of professionalism in dealing with confidential and sensitive information.
  • Other duties as assigned.
  • Maintains a high levels of professionalism on the job and projects this professionalism to the Board, all team members (employed and volunteers), parents/patients, partners, and stakeholders at all times.
  • Creates and maintains good working relationships with organizational leaders and team members.
  • Builds relationships that will support fulfilling current patient needs and maximize our potential with new patients and organizations in the future.
  • Checks emails and responds appropriately.
  • Participates in mandatory training.
