About The Position

We’re a growing startup looking for a highly organized, adaptable Administrative Assistant to join our Executive support team. This role sits on a small, trusted team that works exclusively with the CEO and President and plays a key role in keeping the company moving quickly and efficiently. You'll work closely with our Executive Assistants, ensuring our CEO and the broader team can focus on what matters most. You’ll help keep day-to-day operations running smoothly and provide reliable administrative support in a fast-moving environment. This role is primarily based in Cambridge, MA but could require occasional travel.

Requirements

  • 3+ years of experience in an administrative or executive support role (startup experience a plus)
  • Proficiency in Microsoft Office Suite
  • Shines in high stress situations. Calm, flexible, and solutions-oriented
  • Strong organizational skills and the ability to juggle competing priorities
  • Excellent communication skills and sound judgment
  • High level of discretion and trustworthiness
  • Comfortable working both independently and as part of a team
  • Tech-savvy and quick to learn new tools
  • Comfortable traveling between our two Cambridge work site locations (20 mins apart) as needed

Responsibilities

  • Partner closely with the Executive Assistant to the CEO and Executive Assistant to the President to help support their day-to-day operations.
  • Provide backup support for executive scheduling, travel, and administrative needs.
  • Track expenses, invoices, and basic administrative workflows.
  • Oversee occasional office manager responsibilities, including supply ordering, vendor management, and facility maintenance coordination.
  • Prepare materials and conference rooms for meetings, investor conversations, and other ad hoc office visitors.
  • Serve as the go-to person for resolving scheduling conflicts and space-related issues.
  • Keep files, documents, and information organized and secure.
  • Support new team member onboarding requirements – conference room scheduling, calendar development and coordination.
  • Act as a liaison between the CEO / President team and team members, partners, and external stakeholders.
  • Serve as backup coverage for the Executive Assistant when needed.
  • Assist in event logistics from concept to completion, including vendor coordination, catering, and setup.
