About The Position

Tier One Technologies is looking for an Administrative Assistant to support our direct US Government client. This hybrid contract-to-hire position will be located in Eagan, MN. SELECTED CANDIDATES WITHOUT REQUIRED CLEARANCE WILL BE SUBJECT TO A FEDERAL GOVERNMENT BACKGROUND INVESTIGATION TO RECEIVE IT.

Requirements

  • A degree from an accredited College/University. If the individual does not have a degree, then 4 additional years of related experience is required.
  • 3+ years of Administrative Assistant’s experience.
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.
  • Proven ability to efficiently create a wide range of documents, spreadsheets, and databases.
  • Strong customer service, interpersonal, analytical, organizational, and communication skills, with an excellent command of the English language.
  • Exceptional writing skills.
  • Must be a US Citizen or Green Card holder.
  • Must be able to obtain a Position of Public Trust Clearance.
  • Be able to pass a drug screening, criminal history, and credit checks.
  • Must have lived in the United States for the past 5 years.
  • Cannot have more than 6 months travel outside the United States within the last five years. Military Service excluded. (Exception does not include military family members).

Responsibilities

  • Provide Administrative support in a variety of functions to an executive, team, department or another group in an organization.
  • Collect, review and analyze complex and/or confidential information and create reports, charts, budgets, and other presentation materials.
  • Respond or route priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive.
  • Schedule and coordinate meetings, travel, and other group activities. May plan and schedule work and direct other staff to deliver support.
  • Compile and format information as requested, prepare reports, memos, letters, background papers and other documentation as required; uses word processing applications, and monitors peripheral equipment for proper operation.
  • Track completion of tasks assigned to team members to ensure timely and accurate submission.
  • Attend meetings and take notes on task assignments, summarize meetings.
  • Manage team task board, adding lanes and assigning tasks as needed
  • Serve as Audit coordinator, ensuring audits are assigned to the correct parties and following up with auditors and subject matter experts on timeline for completion.
  • Manage cube assignments, equipment orders, supply orders for in-person staff.
  • Submit service requests for facility issues.
  • Collect e-documents and digital signatures, archive employee e-documents
  • Exercise discretion in handling a variety of confidential and sensitive issues and assignments; and in providing information or making referrals.
