About The Position

We are looking for an enthusiastic, self-motivated individual to work in a multi-service facility which interacts with various University Stakeholders. The Administrative Associate II will work on the Advising and Transfers Team at WTAMU. This position will assist Director with development of budget, reconciliation of accounts and requisition request with Procurement. Other duties include managing multiple schedules and facilitate a schedule for eight faculty fellows who work quarter-time with ATS. The selected individual will work closely with the Hub Student workers and various departments on campus by phone, email and in-person. Accuracy and attention to detail are very important for this position.

Requirements

  • High School or GED.
  • Two (2) years of administrative or similar experience.
  • Budgeting experience.
  • Advanced word processing and Excel and Microsoft office suite.
  • Experience with student/customer data systems.
  • Strong interpersonal, written and verbal communication skills to communicate effectively in a positive, courteous & professional manner.
  • Multitasking ability and ability to work collaboratively with peers in a high traffic space.
  • Ability to maintain organization to meet deadlines, manage multiple schedules and work with sensitive information.
  • Willingness to work on collaborative group projects.
  • Self-motivated to start projects and complete tasks with minimal guidance.

Nice To Haves

  • Bachelor’s degree.
  • Four (4) years of related experience.
  • Experience with college environment, practices and policies.
  • Prepare presentations/documents for training purposes.
  • Bilingual.

Responsibilities

  • Professionally communicate by phone, email and in-person to various University stakeholders, including special guests, prospective students, new and continuing students.
  • Work with the director to facilitate and maintain an operating budget by monthly reconciliation and allocations.
  • Manage department inventory for IT, purchasing and general supply needs.
  • Accurately prepare and submit required documents for hiring new full-time, graduate and student employees.
  • Present and develop training materials as needed for new employees.
  • Maintains 100% compliance with timely completion of required System, University and job-specific online training courses.
  • Other duties as assigned.
