About The Position

We are seeking a motivated Administrative Intern to join our small, fast-moving team in a role that touches many parts of the organization. Based in Irvine, CA, one of the world’s leading medtech hubs, you will be working with an ambitious team on technology that has a real impact on patients’ lives. This is a great opportunity to learn how a medical technology startup functions and explore the career paths available in the MedTech industry. We expect you to be comfortable with a computer and to have problem-solving skills, but prior experience with our specific tools is not necessary. This is an in-person role based in our Irvine, CA office, for 15–20 hours per week, for 3 months.

Requirements

  • Ability to carry items up to 20 pounds, including up and down stairs, and use a pushcart for heavier loads
  • Experience using PCs
  • Strong attention to detail, organizational skills, and a drive for excellence
  • A self-starter who is proactive, accountable, and excited to learn
  • A warm, friendly demeanor; you will interact with the whole company and often be the first impression for someone new
  • Available for a consistent weekly schedule; we're flexible on which hours and days work for you, but we require the same schedule each week

Nice To Haves

  • Familiarity with Microsoft Office (Word, Excel, PowerPoint)
  • Prior admin experience

Responsibilities

  • Support HR administration tasks, including job postings, resume reviews, candidate outreach, and employee onboarding
  • Coordinate and support on-site visits from physicians, partners, and other guests to ensure a smooth and professional experience
  • Assist with event planning: coordinating invitations, communicating with venues, ordering food, building gift bags, setting up raffles, and more
  • Manage calendars and scheduling across the team
  • Handle incoming and outgoing mail and shipments
  • Assist in expense report reconciliations
  • Maintain and update office display boards and visual installations
  • Serve as a point of contact for outside parties such as building management and facility inspectors
  • Order and organize office, employee, and IT supplies
  • Transport supplies between our three office buildings (all within walking distance)
  • Receive and put away office deliveries
  • Copying, scanning, and filing of documents
  • Assist with additional administrative tasks as they arise
