The Administrative Support and Graphics Specialist provides high-level administrative, documentation, and graphics support for program operations and executive leadership. This role is responsible for compiling, editing, and producing a variety of professional documents including reports, proposals, manuals, cost estimates, briefings, and presentations. The specialist integrates text and graphics to create clear, cohesive, and visually effective deliverables using standard office and graphic tools. Responsibilities include preparing spreadsheets, reports, and PowerPoint presentations, as well as reviewing materials for typographical accuracy, grammar, spelling, punctuation, and overall format before submission for leadership approval. This role also supports executive communications and meeting coordination, including organizing information for executive briefings, preparing meeting agendas, tracking action items, and documenting key discussion points and decisions. The specialist drafts executive communications based on meeting notes and ensures timely follow-up on assigned actions. Additional responsibilities include coordinating logistics for high-visibility seminars, conferences, and program meetings, as well as supporting project documentation, administrative reporting, and internal documentation management. The position maintains an organized documentation library to ensure materials remain current, accessible, and properly archived. Under minimal supervision, the Administrative Support and Graphics Specialist assists in preparing and maintaining technical, operational, and program documentation, while also providing detailed analysis of information and highlighting key findings and recommendations.
