About The Position

FWI is building a team to provide Program Management Office (PMO) Support Services for the Defense Agencies Initiative (DAI), requiring dedicated on-site administrative and communications support at DLA Headquarters, Fort Belvoir, Virginia. As an Administrative Support and Graphics Specialist, you will serve as the primary on-site point of coordination for the DAI PMO, managing executive calendars, facilitating meetings and conferences, preparing correspondence and presentations, and ensuring seamless day-to-day administrative operations for program leadership. Position is contingent upon contract award Work Schedule and Location: Onsite: This is a full-time on-site position at DLA Headquarters, Fort Belvoir, VA. Work is performed Monday through Friday during standard core government business hours (6:00 AM – 5:30 PM ET). A regular on-site presence is required to support the DAI PMO team. Extended hours and/or weekend support may occasionally be required based on operational needs.

Requirements

  • 5 years of relevant experience
  • Proficiency with SharePoint, Microsoft Word, Excel, and PowerPoint
  • Expert experience coordinating highly visible seminars, conferences, and program meetings
  • Expert experience with technical documentation creation, maintenance, and analysis
  • Strong written and oral communications skills with visual communications proficiency
  • Ability to create and update programmatic briefings and executive-level communications
  • Must hold an active Secret clearance or equivalent Tier 3 (T3) background investigation.

Responsibilities

  • Develop executive-level briefings, reports, presentations, and graphical materials using MS Office Suite to support DAI PMO leadership and stakeholders
  • Provide strategic communications and change management support including public affairs, written materials, newsletters, conference coordination, and exhibits
  • Support external stakeholder engagement with OMB, GAO, Congress, and other federal entities including preparing materials for executive meetings and drafting follow-up communications
  • Manage onboarding/offboarding administrative processes including security access forms (DD Form 2875, AMPS, DLAH Form 1728), personnel folders, and personnel tracking
  • Maintain internal documentation libraries, track action items, and provide editorial review of deliverables for clarity, consistency, and technical accuracy
  • Support audit lifecycle management including scheduling conferences, coordinating document requests, and monitoring audit activities
  • Provide direct on-site support including setting up conference rooms, escorting official and foreign visitors, managing executive calendars, scheduling key events (meetings, conferences, VTCs), and coordinating special events
