About The Position

Jasper Mountain is a treatment family, and a place of hope for children and parents who search for answers. Since 1982, we have been growing and learning along with the children and families we serve. Jasper Mountain is many things but there is nothing quite like it anywhere! Jasper Mountain provides a continuum of programs that meets the needs of emotionally disturbed children and their families. Services include an intensive residential treatment program with a therapeutic school, a short-term residential center, treatment foster care program, community based program and crisis response services. With a primary mission to offer help and hope for children and families, Jasper Mountain has developed specializations in areas such as attachment issues, sexual reactivity, anti-social and violent behavior and treating severe trauma. We have experience with adopted children including foreign adoptions and subsequent challenges for parents. All programs are guided by the agency philosophy to treat the intellectual, emotional and spiritual needs of the child – thus treating the whole person. Jasper Mountain currently works with children from around the United States and is available for private placements. The Administrative Support Manager will oversee the administrative functions and supervise the front office employees across both campuses (currently 3 employees). This is a hand-on role that will perform key duties in the front office alongside the front office employees that they supervise.

Requirements

  • Minimum of three (3) years of direct supervision of employees is required.
  • Extensive knowledge of office management procedures is required.
  • Excellent verbal and written communication as well as interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Candidates will be required to undergo a pre-employment drug screening and a background check after a conditional job offer has been made.

Responsibilities

  • Oversees the daily work activities of the front office at Jasper Mountain and SAFE Center.
  • Streamline consistent processes between both campuses and implement revised procedures accordingly.
  • Coach and support front office direct reports in accordance with company policy and procedures.
  • Conduct performance reviews of direct reports and maintain all compliance related documents pertaining to supervising front office employees.
  • Supervises and performs clerical duties such as answering phones, greeting visitors, sorting and distributing mail, and preparing documents timely and accurately.
  • Lead weekly front office employee check-ins/team meetings at each campus.
  • Update and maintain contact lists and other agency documents to reflect program changes in a timely manner.
  • Update the Crisis Prevention Institute (CPI) List/Contact Binders in each building regularly -- weekly at minimum.
  • Handle sensitive information in a confidential manner including maintaining HIPAA and confidential client records.
  • Maintain and process program related files and documents which may include performing duties and responsibilities of the front office employees that report directly to this role.
  • Process and deposit AR checks (performed at the JMC campus only).
  • Act as back-up to the front office employees as needed when they are out of the office.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Maintains office and client flies; implements an efficient system for archived files and records.
  • Performs other related duties as assigned.
