About The Position

This position provides comprehensive administrative and clerical support to the Chief Administrative Officer, ensuring efficient daily operations. This role serves as a key point of contact, manages correspondence and scheduling, maintains confidentiality, and supports organizational priorities through effective communication, coordination, and attention to detail.

Requirements

  • High school diploma or equivalent is required.
  • Three to five years of experience in banking or an administrative role, or an equivalent combination of education and training, is preferred.

  • Previous experience in an administrative or office support role preferred.
  • Proficiency in Microsoft Office products such as Excel, PowerPoint, Word, and Outlook.
  • Strong organizational and time-management skills.
  • Ability to multitask and meet deadlines.
  • Professional communication skills, both written and verbal.
  • Maintains strict confidentiality of all work-related information and assignments
  • Valid driver’s license and ability to run local errands as required.
  • Friendly and professional demeanor.

Responsibilities

  • Serves as the first point of contact for customers, visitors, and staff, both in person and by phone, providing professional greetings, assessing needs, directing inquiries appropriately, and taking messages when necessary.
  • Provide general administrative support, including filing, data entry, document preparation, and correspondence.
  • Supports departmental workflow by assisting with overflow tasks and collaborates with other departments at the Admin Office as needed to ensure smooth operations.
  • Handle confidential and sensitive information with discretion.
  • Coordinate travel arrangements and meeting/event planning and facilitation.
  • Provides backup support to the Chief Administrative Officer, assisting with board-related activities and administrative functions as needed.
  • Record directors’ fees, maintain accurate tracking records, and submit fees for payment in accordance with organizational procedures.
  • Handle mail delivery and retrieval, and complete deposits and loan payments at the Main Branch as required.
  • Pick up lunches for board members during board meetings or events.
  • Assist with other errands or office-related tasks as assigned.
  • Adherence to and support of all compliance and BSA/AML rules and regulations related to this job function.
  • Performs other duties as assigned by Chief Administrative Officer.
