About The Position

This person functions as the Executive Assistant to the Library Director and the library’s administrative leadership team. This person is responsible for providing broad level administrative support that often includes handling confidential information. This position may require evening and weekend hours. Also requires travel to various library locations.

Requirements

  • Knowledge of library principles, practices and techniques strongly desired. Requires one to be well organized, detailed oriented, have good time management skills and be a good listener.
  • General knowledge of modern office practices, procedures and equipment.
  • Ability to communicate clearly and effectively both orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to devise detailed procedures and methodology.
  • Ability to plan, organize and direct the work of others.
  • Ability to anticipate the needs and see the big picture to reach outcomes that best meet the goals of the organization.
  • Ability to draft and proofread a variety of correspondences.
  • Must be a team player that works well with others.
  • Must be able to establish and maintain effective working relationships with officials, subordinates, other employees and the general public.
  • Must be dedicated to safeguarding the Durham County Library name and meeting the needs of the customers we serve.
  • Must be well-organized, detail-oriented, have good time management skills, and be a good listener.
  • Requires any combination of education and experience equivalent to graduation from an accredited college or university with a bachelor’s degree in business or public administration or a related field and two years of personnel, budgeting, research or administrative management experience which includes six months of supervisory or lead worker experience.

Nice To Haves

  • Previous library experience highly desired.
  • Ability to speak Spanish a plus.

Responsibilities

  • Maintains efficiencies in administrative operations of the library.
  • Plans, organizes, and directs the work of the library’s temporary employees.
  • Provides administrative support to the library’s Administrative Leadership Team.
  • Gathers reports and assists with statistical needs and supporting documentation for a variety of projects including the library’s strategic plan.
  • Works closely with the Library Director to assemble and prepare necessary information for upcoming meetings in which the Library Director leads or serves in varying capacities.
  • Takes and distributes minutes for various meetings that are facilitated by the Library Director. May attend Administrative Leadership Team meetings.
  • Serves as the library’s timekeeper. Works closely with Payroll department to resolve issues.
  • Receives, sorts, and distributes incoming mail and packages.
  • Orders supplies, maintains inventory, and fills general supply orders.
  • Orders and maintains copier supplies and paper.
  • Communicates general information with internal and external customers.
