Job Summary: The Assistant Admin Manager is responsible for supporting the Admin Manager with administrative requirements of the contract regarding recruitment. Ancillary HR duties as needed, including resource management, payroll and billing, scheduling, and reporting.

Requirements

  • Must have a minimum high school diploma or GED
  • All applicants for this position must be: 21 years of age or older A U.S. Citizen or Permanent Resident Have a clear Criminal Record Able to obtain and maintain a valid SIDA badge
  • Outstanding interpersonal and communications skills required.
  • Ability to work in a team-oriented environment with the ability to work independently.
  • Able to work a rotating shift schedule, including nights, weekends, and statutory holidays
  • Superior communication skills (oral and written).
  • Excellent interpersonal, customer service and conflict resolution skills with an unrelenting commitment and passion to customer service excellence

  • Competent in basic computer skills in MS Office applications Email, MS Word

Responsibilities

  • Provides full recruitment support to the station by: Being fully involved in the full-cycle recruitment process: Review applicant pipeline to identify qualified candidates Scheduling interviews Communicating with hiring managers on the status of open requisitions Prescreening candidates Complying with all ACTS recruiting and hiring policies and procedures
  • Recruits for open requisitions as directed.
  • Coordinates with background check vendor regarding any on-going discrepancies.
  • Provides back up support for payroll and HRIS functions.
  • Ensures that weekly, monthly and ad-hoc reports and projects are completed accurately and on time.
  • Assists with orientation and on boarding of new employees as needed.
  • Participate in on-site and off-site job fairs.
  • Manages special projects as assigned.
  • New Hire & Employee Management as assigned: Create personnel folders for new hires.
  • Maintain all personnel files and have them available for review upon request.
  • Process all change of status forms for security team .
  • Maintain and monitor all employee database information including personnel information and staff deficiencies.
  • Assist with maintenance of all officers’ attendance, lateness and disciplinary files and have them available upon request.
  • Create monthly personnel reports .
  • Badging and Licensing Ensuring all officers assigned are in compliance with all airport badging, State and County security licensing requirements.
  • Maintain and monitor employee database for licensing and airport badges and report any changes in personnel within 48 hours.
  • Uniforms and Equipment Report any needed tools/equipment and supplies required for new personnel .
  • Maintaining tracking system for uniform purchase and issue.
  • Issue equipment to security team and maintain equipment issuance records .
  • Payroll/Billing Duties as assigned for vacation coverage or special circumstances .
