About The Position

A growing construction/manufacturing organization in Palm Beach County seeks an Assistant Bookkeeper to support day-to-day accounting and project-finance activities. This opportunity is ideal for someone eager to learn about construction accounting, job cost tracking, and QuickBooks Online (QBO) in a hands-on, team-oriented environment. The role involves working onsite to support the company's Bookkeeper and accounting team in various tasks, including accounts payable/receivable, payroll assistance, document control, billing, and administrative duties.

Requirements

  • At least 2 years of hands-on accounting experience, including AP, AR, reconciliations, and daily use of accounting software.
  • Familiarity with QuickBooks or comparable tools and solid Excel abilities, including VLOOKUP and pivot tables.
  • Excellent communication skills and a service-oriented phone presence.
  • Confidence navigating technology and adapting to new systems quickly.
  • Strong attention to detail, organization, and consistent follow-through.
  • A professional, upbeat attitude and collaborative spirit.

Responsibilities

  • Enter vendor bills, credit card transactions, and deposits into QuickBooks Online (QBO).
  • Maintain organized digital and physical files for customers, vendors, jobs, W-9s, COIs, and contract documents.
  • Assist with setting up customers, vendors, jobs, and cost codes in QBO under supervision.
  • Help process vendor and subcontractor invoices, match to POs/receiving, and route for approvals.
  • Prepare customer invoices and progress billings from templates/checklists.
  • Track incoming payments, update remittance details, and support basic collections follow-up.
  • Assist with coding expenses by project, phase, and cost category.
  • Help monitor retainage, deposits, change orders, and committed costs logs.
  • Support the preparation of AIA billing packages (G702/G703) and backup as trained.
  • Assist with monthly bank and credit card reconciliations following a checklist.
  • Prepare folders, schedules, and tie-outs for month-end and year-end close.
  • Collect and verify timesheets, confirm approvals, and support payroll processing tasks.
  • Maintain employee files and assist with onboarding documentation.
  • Answer phones and emails, and coordinate with clients, vendors, and subcontractors.
  • Track lien waivers, insurance certificates (COIs), and NDAs.
  • Support ad hoc tasks and special projects as needed.
