About The Position

Roswell Park Care Network has a new opportunity for an Assistant Office Manager at our Depew Dermatology location! SUMMARY The Assistant Office Manager supports the Senior Practice Administrator to provide oversight and coordination of the day-to-day operations of one community practice. This position will be a working member of the team. They will provide staff support, along with maintaining staff time and attendance, mentor, train, assist staff and help support practice goals. Executes completion of various tasks within the office. Requirements

  • Bachelor’s degree preferred and one (1) year of administrative medical office experience required; OR
  • Associate’s degree and two (2) years of medical office administrative experience; OR
  • High School Diploma or GED and three (3) years of medical office experience
  • Supervisory experience preferred.
  • Experience in a medical practice or similar organization, with a strong understanding of patient throughput/office business operations, compliance, payers, staff supervision, training or mentoring and office financials, and patient satisfaction.

Responsibilities

  • Assist Senior Practice Administrator with office operations.
  • Be available to assist Senior Practice Administrator with employee issues.
  • Schedule maintenance on lab and office equipment, if applicable, and knowledge of equipment and IT issues.
  • Support execution of employee time and attendance matters ensuring compliance with policies and state/federal law. i.e. timesheet review and approval, time off management.
  • Monitor office supplies and order new stock as required.
  • Assist Accounts Receivable to provide accurate deposit information for QuickBooks.
  • Manages the upload of invoices and packing slips to Accounts Payable for vendor payments.
  • Collaborate with peers and staff on the implementation of any new systems at location. Work closely with staff and the vendor to schedule a timeframe for training and implementation.
  • Assist Senior Practice Administrator with ensuring compliance with federal, state, and local regulations for medical practices.
  • Comply with all PC policies and procedures.
  • Coordinate the day-to-day operations, performance management input, first-line conflict resolution with appropriate escalation to Senior Practice Administrator.
  • Coordinate and delegate tasks and triages to staff as appropriate to ensure provider-patient numbers are achieved.
  • Oversee tasks related to no-show reports. Ensure patient no-shows are filled in the physician schedule
  • Maintain coverage schedules
  • Coordinate processes related to incoming referrals for physicians.
  • Chart preparation for new patients, and existing patients, as required.
  • Second line balancing for Front Desk co-payments, patient responsibility payments, and cash-out reports.
  • Assist with telephone support as needed
  • Schedule interpreter services for patients if needed
  • Maintain internal phone list, housekeeping requests, basic IT technical support, and other tasks associated with day-to-day office operations.
  • Assist by scheduling and participating in interviews as needed.
