About The Position

The Associate Registrar for Academic Systems & Operations provides strategic leadership and hands-on management of enterprise academic systems that support curriculum, registration, degree audit, scheduling, and state reporting. This role serves as the primary functional expert for Banner, DegreeWorks, CourseLeaf, CPOS, and related systems, ensuring data integrity, regulatory compliance, and seamless integration across academic and administrative units. The position partners closely with Academic Affairs, Advising, Graduate Studies, Financial Aid, Admissions, ITS, and system-level stakeholders to support student progression, degree completion, and institutional reporting requirements.

Requirements

  • Bachelor's degree or higher in related field.
  • Six (6) years of related experience.

Nice To Haves

  • Master’s degree in Higher Education Administration, Information Systems, or related field.
  • Experience in a registrar’s office or academic systems environment.
  • Experience with Argos Report Writer, SQL Developer, and data analysis tools.
  • Familiarity with Texas higher education reporting and system-level governance.
  • Advanced functional knowledge of Banner Student, DegreeWorks, CourseLeaf, and academic ERP systems.
  • Strong understanding of curriculum management, degree audit logic, and student academic records.
  • Knowledge of state reporting requirements and higher education compliance standards.
  • Excellent analytical, problem-solving, and project management skills.
  • Ability to communicate complex technical concepts to non-technical stakeholders.

Responsibilities

  • Academic Systems Administration Serve as functional lead for Banner (PROD/PPRD/TEST), DegreeWorks, CourseLeaf, CPOS, and related academic systems.
  • Configure, maintain, and troubleshoot academic systems to support curriculum, registration, degree audit, and student learner records.
  • Manage system upgrades, testing, and implementations in collaboration with ITS and vendors.
  • Curriculum, Course, and Program Management Build, update, and maintain course and section data at the catalog and schedule level, including: Course titles, descriptions, inactivation, and equivalencies. Co-/pre-requisites, restrictions, TSI requirements. Course attributes, core curriculum coding, and curriculum rules.
  • Oversee program inventory management, Banner code governance, and curriculum rule configuration.
  • Support curriculum changes related to departmental reorganizations, new programs, and graduate thesis/non-thesis structures.
  • Degree Audit & Student Progress Systems Administer DegreeWorks (PROD/TEST), including: Scribe for programs, prerequisites, and core curriculum. UCX code and property management. SQL Banner extracts and controller configurations. Transit jobs and TREQ administration.
  • Lead DegreeWorks upgrades, re-scribing initiatives, and ongoing system enhancements.
  • Manage DegreeWorks access requests and respond to inquiries via Jira, email, and Teams.
  • CPOS & Financial Aid Compliance Oversee Course Program of Study (CPOS) operations, including: Term configurations, run cycles, and single-student runs. Monitoring output reports and error logs. Developing custom Argos reports for compliance monitoring.
  • Resolve CPOS-related issues impacting students, advising, graduate studies, and financial aid.
  • Reporting, Data Integrity & State Compliance Manage state and system reporting related to courses and programs, including: THECB Course Inventory reconciliation. CIBM003 reporting. CIP program and course code management.
  • Develop and maintain custom reports using Argos and SQL to support audits, clean-up initiatives, and decision-making.
  • Oversee validation table modification requests and ensure data governance standards are met.
  • Scheduling & Space Management Support course scheduling and registration processes, including CourseLeaf Schedule (CLSS).
  • Serve as backup for Ad Astra room assignments and resolve schedulingrelated issues.
  • Projects & Strategic Initiatives Lead and support major academic systems projects, including: CPOS implementation and ongoing support. Strategic scheduling for a student-centered schedule. CourseLeaf Bridge and system synchronization. DegreeWorks re-scribe and upgrades. EduNav/SmartPlan implementation. Transfer data imports and NASH cohort initiatives.
  • Coordinate cross-functional project efforts and communicate timelines, risks, and outcomes.
  • Collaboration & Stakeholder Engagement Serve as primary liaison with: Academic Affairs, Deans, Chairs, Advising, Graduate Studies, Admissions, Financial Aid, Faculty, and Staff. ITS and external vendors (Ellucian, CourseLeaf, Ad Astra). System-level and professional communities, including Banner User Groups, Ellucian Communities, and Degree Audit Network Improvement Community (NIC).
  • Provide subject-matter expertise, training, and guidance to campus partners.
