About The Position

The Central Scheduling Rep will be responsible for scheduling, coordinating and organizing surgical procedures to ensure smooth operations for patients, surgeons and the daily operations of the surgical schedule. They will manage the scheduling of the surgical procedures by coordinating with physician offices and leadership to ensure procedures are scheduled appropriately accurately, and efficiently.

Requirements

  • High School Diploma or equivalent required.
  • Effective communication skills, both verbal and written English proficiency required.
  • Ability to function independently with minimal supervision within the scope of knowledge and authority of the position.
  • Computer skills required (MS Office Word and Excel).
  • Solid phone/customer service skills.
  • Excellent communication and customer service abilities.
  • Ability to prioritize, problem-solve, and work effectively in a fast-paced environment.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to handle sensitive and confidential information.
  • Ability to perform complex administrative tasks.
  • Ability to work both in a team and independently.

Nice To Haves

  • Knowledge of surgical procedures and electronic scheduling systems is preferred.

Responsibilities

  • Schedule surgical procedures based on physician availability through coordination with the physician offices.
  • Verify patient information and other required data needed for a successful scheduling of the procedure.
  • Coordinate with the physician offices, operating room staff and anesthesiologists to ensure appropriate scheduling of procedures.
  • Handle scheduling changes, cancellations and add-ons as needed and notify the appropriate leadership of scheduling changes.
  • Ensure compliance with block scheduling guidelines and Operating Room (OR) utilization standards.
  • Responsible for scheduling accuracy, verification of case completeness including completed information to minimize scheduling conflicts to prevent surgical delays.
  • Collaborate with surgeons’ offices and perioperative leadership to address scheduling concerns or add-on requests as needed.
  • Ability to work under pressure in a fast-paced and at times hectic environment.
  • Foster a positive team-oriented culture that emphasizes accuracy, accountability, and patient-centered service.
  • Able to resolve escalated scheduling issues or complaints to perioperative leadership as needed.
  • Able to demonstrate accuracy and strong organizational skills.
  • Maintains strong current knowledge of policies and operating procedures.
  • Displays a positive attitude when interacting with physician’s office staff, physicians, and fellow employees of the organization.
  • Demonstrates ongoing commitment to customer service excellence and supports the customer service plan.
