About The Position

The Clerical Office Administrator plays a crucial role in supporting the day-to-day front-office operations. This position involves preparing and typing reports, processing incoming and outgoing mail and email, answering and routing phone calls, greeting visitors, and delivering excellent customer service. This role is perfect for a detail-oriented communicator who excels in organization, accuracy, and assisting clients and colleagues.

Requirements

  • 1+ years of office, receptionist, or administrative experience, preferably in a professional services setting.
  • Proficiency with Microsoft Word, Excel, Outlook, and Teams.
  • Comfortable with scanners/printers and PDF tools.
  • Clear verbal and written communication skills.
  • Polished phone etiquette and a customer-service mindset.
  • High School Diploma.

Responsibilities

  • Type, proofread, and format reports, letters, forms, and internal documents, ensuring accuracy, consistency, and version control.
  • Create basic spreadsheets and logs, and update trackers and shared folders.
  • Process incoming and outgoing mail and packages, manage the postage meter and courier pickups.
  • Triage shared inboxes, draft, send, and archive professional correspondence, and maintain electronic and paper files according to retention policies.
  • Answer and route multi-line calls, take accurate messages, and set clear expectations on follow-ups.
  • Greet visitors and clients, maintain a professional, welcoming reception area, and coordinate meeting rooms and basic office supplies.
  • Communicate with clients by phone and email to obtain information, provide status updates, and resolve routine questions.
  • Log interactions and outcomes, escalate issues appropriately with context and documentation.
  • Perform data entry into spreadsheets.
  • Assist with scanning, copying, filing, and other clerical tasks as needed.
