JOB SUMMARY : Under direct supervision from the Executive Dean, School of Public Service Education , this position provides administrative support to the programs , ensuring efficient day-to-day operations within the department. Key responsibilities include assisting with the processing of program applications, communicating updates to applicants and students, and serving as a primary point of contact for students, community members, and campus visitors. The role also involves coordinating communication with external partners, maintaining accurate student records and grades, preparing for graduation events, and managing the submission of required state program reports.

Requirements

  • High school diploma or equivalent required; Associate’s degree preferred.
  • Minimum two (2) years of clerical experience, including data entry, word processing, filing, and use of Microsoft Office (especially Excel).
  • Must be able to create and update excel spreadsheets, and design flyers, graduation programs, etc. as needed.
  • Strong communication skills (verbal and written) and excellent telephone etiquette.
  • Demonstrated ability to work with diverse student populations, faculty, staff, and the public.
  • Highly organized, detail-oriented, and able to manage multiple priorities and deadlines.
  • Self-motivated with the ability to work independently and collaboratively.
  • Professional demeanor with a positive, people-oriented attitude.
  • Must uphold high ethical and professional standards and maintain confidentiality.

Nice To Haves

  • Experience as a receptionist and familiarity with IRSC programs preferred.

Responsibilities

  • Serve as a backup point of contact by greeting visitors and answering incoming phone calls.
  • Assist students with admissions, registration, residency documentation, financial aid, and online resources.
  • Process and track applications and maintain accurate student records.
  • Perform data entry, file maintenance (both electronic and hard copy), and ensure accuracy of submitted documents.
  • Distribute informational materials and stay current on college programs, services, and policies for the Public Service programs .
  • Support student services and campus events as needed; perform other duties as assigned .
  • Completes all other duties and responsibilities as assigned .
