About The Position

As a Client Operations Analyst, you will be a critical support pillar for our core business processes. This foundational role is designed for a detail-oriented problem solver who wants to understand how a global agency operates from the inside out. You will maintain the resource management systems that keep our staffing data accurate and our financial health robust. You’ll succeed in this role if you are proactive, data-driven, and enjoy creating order out of complex, moving parts.

Requirements

  • 1–3 years of experience in operations, project management, or agency finance support (Entry-level candidates with a strong interest in agency operations are also encouraged to apply).
  • Analytical Mindset: You enjoy finding the "why" behind a discrepancy in a spreadsheet and have a passion for data integrity.
  • Technical Proficiency: Strong skills in Excel or Google Sheets (specifically data manipulation, pivot tables, and formulas).
  • Exceptional Communication: Ability to translate complex operational data into clear updates for Client Service and cross-functional leaders.
  • Global Adaptability: Comfortable supporting teams across different time zones and navigating diverse workflows.
  • Organizational Excellence: Proven ability to manage multiple workstreams simultaneously without letting administrative details slip through the cracks.
  • Collaborative Spirit: A proactive teammate who is ready to act as an intercompany liaison and provide backup for critical team processes.

Responsibilities

  • Own the precision of financial trackers and billing quality assurance to ensure client work aligns with contract scopes and revenue forecasts.
  • Coordinate recruitment logistics and maintain accurate staffing records to ensure our global accounts are balanced and growing.
  • Act as the Subject Matter Expert (SME) for Planful (allocation tracking) and Paycom (HRIS), ensuring all staff hours and codes are current and accurate.
  • Monitor "Forecast vs. Actuals" and provide leadership with monthly reports on variance trends and account health.
  • Develop transition plans for staff moving between accounts, ensuring all stakeholders are informed and operational continuity is maintained.
  • Manage onboarding, system set-ups, and compliance for our global operating hubs and non-US offices.
  • Maintain a comprehensive database of internal skillsets through regular surveys to help leadership make strategic staffing decisions.
